We are seeking a highly organized and detail-oriented Part-Time Property Management Assistant to support our Realtor and property management operations. This role is ideal for someone who enjoys administrative work, thrives in a fast-paced environment, and takes pride in keeping processes organized and running efficiently. The successful candidate will play an integral role in supporting the day-to-day management of properties while assisting with administrative and operational tasks.
This is a part-time position with flexibility based on business needs. The successful candidate will work closely with the Realtor to ensure the efficient operation of the property management portfolio.

Job Duties

Provide administrative support to the Realtor and property management team.

Prepare, organize, and maintain property files, lease agreements, and other documentation.

Coordinate maintenance requests and communicate with contractors, vendors, and service providers.

Schedule property inspections, appointments, and maintenance services.

Track work orders and follow up to ensure timely completion.

Assist with lease renewals, tenant onboarding, and move-in/move-out documentation.

Maintain accurate records using property management software and Microsoft Office applications.

Process invoices, receipts, and other administrative paperwork.

Assist with rent tracking and other property management administrative functions.

Monitor email correspondence and respond to routine inquiries or direct them appropriately.

Maintain organized digital and physical filing systems.

Assist with marketing materials, property listings, and other special projects as required.

Handle confidential information with professionalism and discretion.

Perform additional administrative duties as assigned.
Qualifications
Successful candidates will posses:
- High school diploma or equivalent; post-secondary education in business administration, office administration, real estate, or a related field is considered an asset.

Previous administrative experience is required; experience in property management, real estate, or legal administration is considered an asset.

Excellent organizational skills with strong attention to detail.

Ability to manage multiple priorities and work independently in a fast-paced environment.

Strong written and verbal communication skills.

Proficiency with Microsoft Office Suite (Word, Excel, Outlook); experience with property management or real estate software is an asset.

Strong problem-solving and time management skills.

Ability to maintain confidentiality and exercise discretion when handling sensitive information.

Self-motivated, dependable, and able to take initiative.

Valid driver's license and reliable transportation are considered an asset.
