About the Role
We are growing, and looking for a Office and Guest Experience Coordinator to join our team.
Reporting to the Ticketing & Guest Experience Manager, the Office & Guest Experience Coordinator is a central pillar of our festival operations — keeping the office running smoothly, delivering exceptional guest experiences, and managing all travel logistics across our multi-city touring season. This role is ideal for a highly organized, people-first professional who thrives in a fast-paced environment and wants to be part of one of Canada's most beloved comedy events.
Key Responsibilities
Customer Service & Guest Experience
Respond to guest inquiries via phone and email with professionalism and efficiency.
Troubleshoot ticketing issues and resolve guest concerns in a timely manner.
Maintain city-specific knowledge of event details to accurately and confidently answer guest questions.
Monitor and flag recurring guest concerns or emerging issues across email, phone, and social channels to the appropriate team members.
Office Administration
Serve as the primary point of contact for the office: greeting visitors, answering and directing calls, and managing incoming mail and courier packages.
Maintain a welcoming, organized, and well-stocked office environment.
Manage office supply inventory and place orders as needed.
Coordinate scheduling, calendars, and meeting logistics for the team.
Prepare, format, and distribute internal documents, reports, and correspondence.
Support festival preparation tasks including loading gift cards, assembling and sorting accreditation packages, and general inventory management.
Assist with onboarding coordination and general administrative support across departments as needed.
Travel & Accommodation Coordination
Act as the primary liaison for all travel arrangements related to the Great Outdoors Comedy Festival.
Book and manage flights for talent, crew, and staff traveling to festival cities.
Negotiate and coordinate hotel room blocks and individual accommodations with hotel partners.
Maintain accurate, up-to-date travel itineraries for all festival participants.
Handle last-minute changes, cancellations, and rebookings with composure and efficiency.
Track travel expenditures and reconcile expenses with the finance team.
Build and maintain strong relationships with airline and hotel representatives.
Qualifications & Skills
Diploma or degree in Business Administration, Office Administration, Event Management, Hospitality, Communications, or a related field.
2+ years of experience in an administrative, coordinator, or customer-facing role; experience in events or entertainment is a strong asset.
Demonstrated experience booking and managing travel arrangements (flights and hotels), preferably in a professional or event context.
Proficient in Microsoft Office or Google Workspace (Gmail, Docs, Sheets, Calendar, Drive).
Tech-savvy with the ability to learn new platforms quickly; familiarity with Asana, Tixr, or Front is considered an asset.
Exceptional organizational skills and the ability to manage multiple competing priorities under deadline.
Strong written and verbal communication skills with a professional, guest-first approach.
Calm, solutions-focused, and resourceful — comfortable navigating variable workloads and last-minute changes.
Warm, fun and team-oriented, and open to giving and receiving feedback.
Must be available for evening and weekend shifts during festival season.

The role may require occasional evening or weekend availability during major events.
This is a full time position; expected hours to be 40 hours a week
