JOB POSTING SUMMARY – EXECUTIVE ADMINISTRATOR
Community Living & Respite Northumberland (CLRN) is a non-profit organization dedicated to the full inclusion and citizenship of people with disabilities who reside in Northumberland County. CLRN strives to promote this by empowering and building capacity of the people supported, families, employees, and community.
We are currently seeking a dynamic energetic staff member to fulfil this contract position of Executive Administrator within our Management Team. The Executive Administrator provides integral support to the organization’s Executive Director and management team.
This position is a full-time 37.5 hours per week role with a projected start date of late August 2026.
The Executive Administrator will:
- Be responsible for providing administrative support to a variety of departments within the organization in an efficient and professional manner.
- Provide coordination of and support to the Board of Directors’ functions, committees and membership
· Provide comprehensive executive, administrative, and organizational support to the Executive Director, including supporting the advancement of the organization's Strategic Plan, goals, and operational priorities through calendar management, meeting and committee coordination, correspondence, project administration, research, reporting, stakeholder engagement, operational follow-up, and special projects as assigned.
- Act as the lead for the organization’s communications and marketing, in collaboration with the Executive Director, including graphic design, website management, managing social media accounts and creating engaging content, writing and distributing electronic newsletters, writing and editing internal and external communications.
- Act as the lead administrator for the organization’s databases, as well as IT systems and equipment in collaboration with the Executive Director and the organization’s external IT contractor
- Lead the administration and maintenance of the organization's policy framework, including coordinating policy development, reviews, updates, approvals, distribution, version control, and document management to ensure policies remain current, accessible, and aligned with legislative, regulatory, accreditation, and organizational requirements.
- Oversee the functions and requirements of the organization’s donations and fundraising
- Be responsible for agenda preparation and minute taking for various committees/forums.
- Demonstrate a commitment to the provision of excellent services to people supported and contribute to a respectful and productive work environment.
- Follow the Mission and Vision Statements of the Organization.
- Be able to multitask and be able to provide flexible support to prioritize responsibilities to meet target dates.
- Demonstrate professional communication both written and verbal.
The successful incumbent will be a seasoned professional with innovative and resourceful approaches to collaboration with both internal and external resources in establishing community
partnerships. A knowledge of and experience working within the Developmental/Social Services Sector and the Ministry of Community, Children & Social Services are an asset.
Educational qualifications for this position include a post-secondary diploma or degree in a relevant field of study with a minimum of 3 years of progressive office executive experience. Required are a valid G license, acceptable driver’s abstract, access to a vehicle, and a current and acceptable Criminal Reference/Vulnerable sector Check.

Excellent computer and internet skills – Navigation of Microsoft Office programs, databases, IT support, email and internet
Graphic design skills, proficiency in Canva Pro an asset
Website management, proficiency in Wordpress an asset
Excellent written and verbal communication skills
Excellent problem solving and decision-making skills
An understanding of issues related to disabilities
Superior organizational skills and self-motivated
