Location - This role is in-person at North Campus, Edmonton.
Under the general direction of the WLGL Manager, the Executive Coordinator is responsible for providing a broad range of administrative support to the Wahkohtowin Law and Governance Lodge, including the Administrative Team, Director, Research Director, and Manager. This includes managing their calendars and providing support where needed for the team to perform their duties more effectively.
This position has other general administrative tasks such as making travel arrangements, reviewing and triaging incoming requests, meeting minute taking, processing expense claims, assisting with financial reconciliations, assisting with event planning and execution, mail distribution, and minor maintenance to facilities, ordering supplies, and other administrative duties as requested. This position also has some communication and event coordination responsibilities that require the ability to communicate respectfully and appropriately with Indigenous community partners and others. The role reports to the Lodge Manager, and being primarily in-person is a requirement of the position.
Founded in 1912, the Faculty of Law is Western Canada’s oldest law school and a national leader in legal education and scholarship. With approximately 525 JD students and a robust graduate program, it is home to four research groups that provide critical insight and policy expertise: the Wahkohtowin Law Governance Lodge, Health Law Institute, Centre for Constitutional Studies, and Alberta Law Reform Institute.

Coordination: coordinates calendars, meetings, and travel and accommodation for WLGL team and guests and prepares relevant project and meeting documents, including minutes, presentation materials, agendas, action items, and reporting.

Communications: screens, directs, and processes electronic, telephone, and in-person inquiries and assists with maintaining and updating the WLGL website and social media accounts under the direction of other WLGL staff.

Events: partners with WLGL staff to plan, coordinate, deliver, and close out events, workshops, presentations, community visits, and other engagements by organizing logistics and supplies, coordinating catering and parking, preparing and distributing promotional materials, managing registrations, and providing on-site administrative support.

Finance and Record Support: assists the manager with financial reconciliations, expense tracking, data entry, filing, records management, travel claims, and liaising with vendors, suppliers, and service providers as required.

Other administrative duties as required and requested.

Undergraduate degree, diploma, or certificate preferred. A High School Diploma with equivalent related experience will also be considered.

Five years of related experience in a post-secondary environment, Indigenous or other government, non-governmental organization, or law firm.

Proficient with Microsoft Office (including advanced Word skills), Adobe Acrobat, iOS Apps, Google Suite, and Zoom. Experience with Zotero and Genio is an asset.

Excellent proofreading and business writing skills.

Knowledge of WIX and social media platforms, including Facebook, Instagram, LinkedIn, etc.
