Summary
We are seeking an Estimating Administrator to join our dynamic team at MultiTech Trades Corp.
Reporting to the Chief Estimators, the Estimating Administrator provides direct administrative support to the Estimating department. The role will be responsible for all administrative tasks within the department as well as be the first point of contact for all incoming requests. Other duties may include; coordinating and facilitating maintenance of files and documentation, posting and distributing information to estimating staff, and ensuring addendums are distributed and posted to systems in place.
Responsibilities
- Prioritize and manage Request for Quotations (RFQ's) received
- Prepare, submit and manage prequalifications
- Create and upload estimate files and maintain Smartbid FTP site for all divisions
- Manage all ongoing communication including phone calls and emails from estimating inbox
- Update all tracking software and files with additional information received throughout the bidding process
- Print tender file documentation (Including estimate tender invitation, file checklist, drawings, specifications, schedules, any other pertinent project documents) to create physical copy of estimate file for use for the estimating team
- Follow up calls to clients, subcontractors and suppliers as necessary
- Uploading and sending documents using BuildConnect to all applicable subtrades and suppliers for pricing
- Manage and update database of clients, subcontractors and suppliers on Salesforce and BuildConnect site to ensure up to date contact information
- Ensure protocols are being adhered to during submission of tender to client
- Manage all tender documents on the estimating server to ensure estimating team is prepared for bid submissions
- Manage Estimate Checklist form for each estimate and tender file
- Review drawings for new estimates, determine assignments and schedules with estimating team
- At time of closing, assist estimators with various tasks at hand, including but not limited to: tender forms, lead letters, follow up calls, insurance documents, bonding, signatures and submission data.
- Responsible for managing and maintaining monthly reports
- Responsible for various administrative tasks as required
Qualifications
- Postsecondary education in administration or equivalent
- Experience in the construction industry an asset
- Excellent time management skills
- Strong verbal and written communication skills
- Ability to work independently in a busy environment
- Strong attention to detail
- Strong knowledge of excel, word, outlook.
