Job Summary:
As an office administrator, you will be responsible for working closely with project managers to complete data entry to help ensure projects are accurately tracked through our CRM software. You will also be responsible for assisting with customer service, phone management, keeping digital files systems maintained and up to date as well as assisting with other various administrative tasks.
Bookkeeping would be a secondary role. In this position you would assist our part time bookkeeper to provide monthly management reports, ensure financial records are accurate and up-to-date, assist with AR/AP tracking to ensure vendor payments are made on time and to help ensure payment on invoices is recieved in a timely fashion, review and approve crew hours as well as assisting with various bookkeeping tasks. You will work closely with the business owner and other staff to ensure the smooth operation of our financial processes.
Key Responsibilities:
- Record financial transactions accurately and efficiently.
- Maintain accurate records of accounts payable and receivable.
- Process invoices and payments.
- Reconcile bank statements and credit card statements.
- Prepare and submit tax forms.
- Assist with payroll processing.
- Generate financial reports as needed.
- Maintain organized and efficient filing systems.
- Project budget tracking.
- Filtering email correspondence to ensure they reach appropriate team members.
- Assisting in planning and coordinating work functions.
- Data entry and record keeping.
- Provide excellent customer service to clients and vendors.
Required Skills and Experience:
- Proven experience as a Bookkeeper or similar role.
- Strong understanding of accounting principles and practices.
- Must be extremely proficient in QuickBooks - minimum 5 years experience in this software
- Excellent attention to detail and accuracy.
- Strong organizational and time management skills.
- Ability to work independently and as part of a team.
- Excellent communication and interpersonal skills.
- Reliable and punctual.
