As our programs continue to grow, we are seeking a Programs Coordinator who will help ensure every participant experiences a seamless, professional, and welcoming journey from registration through program completion.
The Programs Coordinator plays a central role in the successful delivery of Elevate U programs. Working closely with the Senior Manager, you will coordinate the operational aspects of multiple leadership development initiatives, ensuring that participants, facilitators, and program partners receive an exceptional experience.
This role is ideal for someone who enjoys creating order from complexity, managing multiple moving pieces, and continuously improving systems and processes. While the role includes significant operational coordination, success depends on initiative, sound judgment, and a commitment to creating exceptional participant experiences.
Key Responsibilities
Program Coordination & Delivery
- Coordinate the planning, scheduling, and delivery of Elevate U programs, including the Emerging Leaders Program, Advanced Leadership Program, Executive Leadership initiatives, and other learning experiences delivered in virtual, hybrid, and in-person formats.
- Coordinate participant registration, onboarding, communications, and ongoing support throughout each program.
- Prepare and organize presentations, participant guides, worksheets, and learning resources for each cohort.
- Schedule facilitators, coaches, guest speakers, and subject matter experts while coordinating calendars and meeting logistics.
- Monitor participant attendance, engagement, assignments, and program milestones to help ensure successful completion.
- Maintain accurate participant records and program databases.
Participant Experience
- Serve as the primary point of contact for program support and inquiries.
- Ensure participants receive timely communications, resources, and reminders throughout their learning journey.
- Foster a welcoming, organized, and professional experience from registration through program completion.
- Coordinate participant surveys, evaluations, and feedback activities.
- Maintain accurate participant records and documentation to support reporting and funder requirements.
- Compile participant outcomes, program metrics, and evaluation data for reports and presentations.
Program Operations
- Coordinate the operational logistics for both virtual and in-person programs, including venues, travel, accommodations, catering, and vendor communications where required.
- Support budget tracking and expense processing for programs and events.
- Maintain program documentation, templates, checklists, and standard operating procedures.
- Monitor program timelines and proactively identify potential issues or scheduling conflicts.
- Recommend improvements to processes and workflows that enhance operational efficiency and participant experience.
- Coordinate the organization and maintenance of leadership content within the Echo platform and Learning Management System (LMS).
- Upload, format, and maintain online courses, toolkits, and digital learning resources.
- Collaborate with the Marketing team to gather participant stories, testimonials, and content that promotes Elevate U programs.
- Support stakeholder communications and other administrative activities that contribute to the successful delivery of Elevate U.
- Uphold the vision, mission, and values of Elevate Aviation.
- Perform other related duties as assigned.
Qualification and Experience
- Post-secondary education in business, communications, education, event management, human services, or a related field. An equivalent combination of education and experience will be considered.
- Two or more years of experience coordinating programs, training, education, events, projects, or similar initiatives.
- Exceptional organizational and time management skills, with the ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills.
- Strong attention to detail and commitment to maintaining accurate records.
- Experience using Google Workspace and virtual meeting platforms.
- Confidence learning and working within Learning Management Systems (LMS) and digital learning platforms.
- Strong problem-solving skills, sound judgment, and the ability to work independently.
- A collaborative, participant-focused approach and commitment to continuous improvement.
- An interest in women's leadership development and advancing equity within the aviation industry is considered an asset.
Work Environment
This is a remote position with a flexible work arrangement. This position will work closely with the Elevate Aviation team through virtual meetings and collaborative digital tools.
Occasional evening and weekend work, as well as travel, may be required to support program activities and organizational initiatives.
