Overview
We are seeking a detail-oriented, organized Invoicing & Order Clerk to manage billing for our repeat customers and support order fulfillment in our warehouse. This is a hybrid role, about 80% invoicing and account management, 20% hands-on warehouse work. You'll be the person making sure our regular customers get accurate invoices and their orders go out correctly.
Responsibilities
Invoicing (majority of role)
- Create and send accurate invoices for repeat/recurring customers based on standing orders
- Calculate additional charges (e.g., shipping, deposits) to include in invoices
- Resolve billing discrepancies or customer questions quickly and professionally
- Maintain organized records of invoices, purchase orders, and receipts in QuickBooks Online
- Verify customer and order information for accuracy before invoicing
- Document and track invoices through folder creation
Order Fulfillment (remainder of role)
- Review incoming orders for completeness and accuracy
- Pick and pack customer orders in the warehouse
- Check inventory levels and report discrepancies or shortages
- Coordinate with warehouse staff and carriers to ensure timely shipment
- Prepare shipping documentation and labels
Requirements
- Strong analytical skills and attention to detail; invoicing errors cost us money and customer trust
- Ability to exercise professional discretion
- Comfortable with numbers; bookkeeping or accounting exposure is a plus
- Experience with QuickBooks Online or similar accounting software (or willing to learn fast)
- Proficiency in Microsoft Office Suite (Excel, Word) required
- Organized and able to switch between office and warehouse tasks in the same day
- Excellent communication skills for interacting effectively; you'll be a familiar contact for our repeat customers
- Ability to work independently and as part of a team in a fast-paced environment
- Able to lift 40 lbs and be on your feet for warehouse tasks
- High school diploma or equivalent; no prior experience required, but an asset
Nice to Have:
- Experience in food/beverage, agriculture, or a similar production environment
- Experience with order fulfillment or shipping/logistics coordination
