Position Summary
The Events Coordinator will provide logistical support, input to the planning and delivery of events for the departments within the Student Experience and Success (SES) division and large college-wide student recruitment events. The incumbent coordinates the execution of events plans created by the Manager and the client of the event. The incumbent ensures that the events are coordinated, set-up, and delivered as directed by the Manager.
Using a high degree of judgement and independent action, the incumbent will work with vendors to coordinate and deliver the required elements needed to execute the event positively to influence a diverse group of audiences at each event, based on an event plan provided by the Manager and client of the event. The incumbent ensures that all events are delivered according to plans and agreements and that they work within fixed/established budgets to ensure event success.
These events include (but are not limited to), OCF (Ontario College Fair), Open House, Orientations, Athletic Banquet, SES Summit, Convocation and other one-off events that may be created or required.
Responsibilities
- The incumbent plans, develops and implements large events related to student recruitment and conversion, transitions, divisional events and convocation. Events include (but are not limited to) Ontario College Fair, College/campus Open Houses, Orientation, Athletic Banquet, SES Summit, and Convocation.
- Establishes critical paths and specialized checklists for events to ensure that all details are completed by crucial times.
- Assists with the distribution of special events communications materials including guest invitations, email, web page content, vendor notices, and internal college communications.
- Responsible for the booking venues and physical set-up and take-down for events.
- Coordination of the internal community resources: Physical Resources (set-up), Parking, Security, Catering, Office Services (equipment transportation), and Audio Visual requirements.
- Coordinates with external rental companies, vendors and directs their services: including, but not limited to, florists, décor, furniture rentals, food services, etc.
- Assists with the preparation of materials and coordination of logistics for off campus events, including but not limited to, room set-ups, hospitality requests, transportation for delivery of event supplies, and audio visual requirements.
- Provides consultation and assistance to other College departments participating in and/or running events.
- Plans and implements the annual Convocation Ceremonies.
- Assists with the hiring, training and supervision of work-study student event ambassadors.
- Prepares summaries on the executed events that summarize event outcomes, concerns and assess the success of the event as well expense summaries. Processes invoices for payment and prepares cheque requisitions.
Qualifications/Experience
- A 3-year diploma in public relations / special event management / marketing or the equivalent combination of education and work experience.
- Minimum 3 years of demonstrated experience planning, developing and implementing large scale (1000+ attendees) special events related to student recruitment, admission conversion activities or student life.
- Related work experience gained in a post-secondary recruitment/student advising or in a public relations/special event management environment
- Proven analytical skills in order to respond accurately to on-the-spot client concerns.
- Excellent customer service, interpersonal and organizational/project management skills.
- Ability to work independently, to establish and meet priorities, and exercise good judgment.
- Demonstrated ability to communicate, develop rapport and form productive relationships with a wide variety of audiences in culturally diverse environments, as well as communicate effectively in a variety of media.
- Proficiency in using MS Office Suite (Word, PowerPoint, Excel, Outlook, Access, Teams)
- Proven ability to multi-task, set priorities and work under pressure.
- Proven commitment to working in a cohesive team, and in building relationships with various departments.
- Understanding of and sensitivity to the issues of working within a multicultural environment
