Receptionist & Accounts Payable Clerk

The Opportunity:
We are seeking a Receptionist and Accounts Payable (AP) Clerk to join our Vancouver office. This is an in-office, full-time opportunity working 8am to 5pm daily, reporting to the Office Manager and working closely with our Accounting Manager.
You understand that reception is the face of the Firm and enjoy welcoming visitors in a friendly, welcoming manner. Many of our clients have been and are going through difficult life situations and creating a comfortable and confidential environment for them upon arriving at the Firm is essential.
You take pride in your attention to detail and ability to multi-task. You understand the importance of deadlines and can prioritize or seek input to ensure timelines are met. You ideally will have AP experience in a client-based firm and are comfortable working in a paperless work environment. You also enjoy contributing to a positive and collaborative work culture. Prior experience in a law firm or professional services firm is ideal but not required for this role.
Receptionist Responsibilities:
- Greeting visitors.
- Answering, screening, and directing in-person and telephone inquiries in a professional and timely manner.
- Receiving, sorting, and scanning all incoming mail and courier items.
- Managing the reception’s general inbox.
- Coordinating courier requests and deliveries.
- Managing boardrooms reservations.
- Checking office supplies and restock when necessary.
- Submitting office maintenance service requests.
- Maintaining awareness of the availability of firm members to efficiently respond to inquiries.
- Ensuring that the reception and waiting area are properly maintained and stocked.
- Assisting with other clerical tasks as needed.
Accounts Payable Responsibilities:
- Process accounts payable.
- Follow-up on overdue payments.
- Check AP invoices against purchase orders and follow-up on variances with appropriate person.
- Prepare bank deposits for the Trust and General accounts (as backup)
- Post soft charges from all MB offices.
- Assist with billing accounts for clients (as backup)
The experience you will bring:
- 1 to 2 years of related Reception experience, working with MS Teams VoIP system is preferred.
- 1 or 2 years of accounting related experience focused on AP and AR in a computerized accounting environment (AP and GL), ideally using Soluno is ideal.
- Diploma or Certificate in Accounting or related field is ideal.
- Competent in Outlook, Excel and Word.
- Excellent interpersonal and communication skills with a customer service orientation and professional telephone etiquette.
- Strong organizational skills and attention to detail with an ability to prioritize assigned duties and meet deadlines.
- Proven ability to take initiative and work independently.
- Demonstrated written and oral English communication skills.
- Demonstrated experience with various office procedures.
- Ability to work independently and as part of a team.

This full-time position is an in-office role, and the salary is anticipated to be between $50,000-$60,000 - depending on the candidate’s qualifications.
