We are seeking highly organized, personable, and detail-oriented Intake clerks to join our dynamic Personal Injury team. This position is often the first point of contact for prospective clients and plays an important role in creating a positive client experience while gathering accurate and complete information for our legal teams.
Positions Available
We are currently hiring for two Intake Clerk positions:
- Full-Time: Monday to Friday, 1:00 p.m. – 9:00 p.m.
- Part-Time: Saturday and Sunday, 10:00 a.m. – 4:00 p.m.
Primary Responsibilities
- Conduct initial intake calls with prospective clients in a professional, empathetic, and client-focused manner.
- Gather detailed information regarding the prospective client's circumstances, injuries, treatment, employment, insurance, and other relevant background information.
- Ask appropriate follow-up questions to ensure all necessary information is captured accurately and thoroughly.
- Explain the intake process and next steps to prospective clients.
- Respond to prospective client inquiries by telephone, email, and other communication channels in a timely manner.
- Conduct regular follow-ups with prospective clients to obtain outstanding information, documentation, or signatures required to complete the intake process.
- Maintain timely and consistent communication with prospective clients throughout the intake process.
- Track outstanding intakes and follow up requirements to ensure no prospective client or opportunity is missed.
- Follow up with clients by phone and email in accordance with established service standards.
Experience & Qualifications
- 1+ year of previous customer service, administrative, legal administrative, call centre, or similar experience.
- Experience in a law firm or personal injury environment is considered an asset.
- Superior verbal and written communication skills.
- Strong active listening and questioning skills.
- Strong attention to detail with a high degree of accuracy.
- Excellent organizational and time management skills.
- Ability to prioritize and manage multiple tasks in a fast-paced environment.
- Strong computer skills, including Microsoft Outlook and Word, with strong ability to adapt to new software
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
- Willingness to take full ownership and accountability for assigned responsibilities.

You should be able to manage a high volume of information without losing attention to detail, build rapport quickly with prospective clients, and provide a consistently positive experience from the very first interaction.
The ideal candidate is proactive and understands the importance of consistent follow-up, timely communication, and ownership of each intake. You should be comfortable working in a fast-paced environment, managing multiple prospective clients at different stages of the intake process, and ensuring that no follow-up or opportunity falls through the cracks.
Experience in a legal environment is an asset, but we are equally interested in candidates with strong customer service, administrative, communication, and organizational skills who are eager to learn.
Job Type: Full-time and Part-time
Pay: From $48,000.00 per year
