Position Summary
Join one of the largest and most active commercial real estate brokerages in the Niagara Region. We are seeking a highly organized, detail-oriented Real Estate Administrator to support a dynamic team of agents, appraisers, and staff. Key Responsibilities
Real Estate Administration
- Prepare and process real estate documentation including listings, offers, amendments, and leases
- Review all documents for accuracy and completeness
- Maintain and update listings across MLS and industry platforms
- Prepare comparable searches, property reports, and MPAC packages
- Assist with market research and basic commercial real estate analysis
- Create and maintain internal forms, templates, and marketing materials
- Stay current on industry rules, systems, and software; support agents with training when needed
Office Coordination & Support
- Answer calls, manage inquiries, and greet clients professionally
- Coordinate mail, deliveries, and general office logistics
- Prepare documents, bind reports, and assist with appraisal materials
- Maintain office supplies, kitchen inventory, and equipment servicing
- Organize filing systems (digital and physical)
- Manage property key tracking and logs
- Ensure office spaces remain clean, organized, and client-ready
- Run occasional local errands as required
Qualifications
- Post-secondary education in Administration, Business, Legal, or related field (preferred)
- 1–2 years of real estate administrative experience (or equivalent)
- Familiarity with MLS systems, real estate forms, and board processes
- Experience with Lone Wolf, BrokerBay, or Real Quantum is an asset
- Strong ability to communicate professionally and effectively in English, in person, by telephone, and in writing.
- Strong proficiency in Microsoft Office
- Excellent organization, time management, and attention to detail skills
- Ability to handle confidential information with professionalism

Work Environment
This is a full-time, in-office position within a fast-paced commercial real estate office. The role requires professionalism, accuracy, adaptability, and a strong team mindset.
Schedule:
- Work Schedule: Monday-Thursday 8:30 am-5:00 pm, Friday 9:00 am - 12:00 noon, Friday afternoons free
Job Types: Full-time, Permanent
Pay: $20.00-$24.00 per hour
