We are a new family medicine clinic opening in Quarry Park, Calgary. Four physicians will be transferring their panel of patients. We are a busy, patient-centred family medicine practice, dedicated to delivering high-quality primary care to our community. We participate in Alberta's CII/CPAR program and are affiliated with our local Primary Care Network (PCN).

The Opportunity
As a Medical Office Assistant (MOA), you are the first point of contact for our patients and the heartbeat of our day-to-day clinic operations. You will play a vital role in creating a welcoming, organized, and efficient environment that supports our physicians and enables our patients to receive the best possible care. This is an exciting ground-floor opportunity to help shape the culture and workflows of a brand-new practice.
Key Responsibilities
Patient Reception & Communication
- Greet patients warmly and professionally in person and by telephone
- Schedule, confirm, and manage patient appointments using the clinic's Electronic Medical Record (Accuro) system
- Respond to patient inquiries via phone, email, and secure messaging in a timely, courteous manner
- Collect and verify patient demographic and insurance information; update records accurately
- Manage patient check-in and check-out processes, including collecting co-payments where applicable
- Handle sensitive patient information with the utmost discretion, in compliance with Alberta's Health Information Act (HIA) and PIPA
Administrative & Clerical Duties
- Maintain accurate, up-to-date patient charts and electronic health records in Accuro EMR
- Process referrals, requisitions, and prior authorizations in coordination with physicians
- Prepare and distribute correspondence including consultation letters, forms, and medical documentation
- Scan, file, and manage incoming documents including lab results, specialist reports, and diagnostic imaging
- Manage incoming and outgoing faxes, mail, and electronic communications
- Maintain organized filing systems and ensure document management compliance
Alberta Health & Billing Support
- Verify Alberta Health Care Insurance Plan (AHCIP) eligibility and patient coverage
- Assist with CII/CPAR patient rostering, panel management tasks, and enrollment/disenrollment processing
- Liaise with Alberta Health(PPHS) and PCN staff regarding patient registration and program queries
Clinical Support
- Prepare and stock examination rooms prior to patient appointments
- Assist with patient vital signs, height/weight measurements, and pre-visit screening as directed
- Process lab requisitions and coordinate specimen collection logistics
- Follow up with patients regarding appointment reminders, recalls, and outstanding results (as directed by the physician)
Clinic Operations
- Maintain a clean, organized, and welcoming reception area and patient waiting room
- Monitor and restock office and clinical supplies; notify Practice Manager of low inventory
- Support onboarding of new patients including registration, consent forms, and clinic orientation
- Participate in team huddles, staff meetings, and quality improvement initiatives
- Assist with opening and closing clinic procedures as scheduled
Qualifications & Experience
Required
- Completion of a Medical Office Assistant diploma or certificate program from a recognized Alberta institution
- Minimum 1–2 years of experience in a medical office or primary care setting (new graduates with strong practicum experience encouraged to apply)
- Proficiency with an EMR system (Asset if experience with EMR)
- Strong working knowledge of Alberta Health billing, AHCIP, and medical terminology
- Excellent communication skills — both written and verbal — with a patient-first attitude
- Demonstrated ability to multitask, prioritize, and maintain calm and accuracy in a busy clinical environment
- Proficiency with Microsoft Office (Word, Outlook, Excel) and general office technology
- Knowledge of Alberta's Health Information Act (HIA) and patient privacy obligations
Preferred / Assets
- Experience with CII/CPAR rostering or Alberta Health patient panel management
- Familiarity with Alberta Netcare Portal
- Knowledge of PCN programs and community health resources available in Calgary
Working Conditions
- In-clinic, on-site role — Monday to Friday, daytime hours
- Fast-paced environment requiring the ability to manage multiple priorities simultaneously
- Regular standing, walking, and computer use; occasional lifting
- Exposure to patients with various medical conditions; adherence to infection prevention and control (IPAC) protocols required
