We're looking for an organized, proactive, and dependable Administrative Assistant to join our team. This is a great opportunity for someone who enjoys variety in their work, likes learning new things, and wants to be part of a friendly and supportive team.
Overview
The Administrative Assistant will provide support in a variety of areas, including office administration, customer service, Accounts Receivable, reception, Health & Safety (CSS/CNESST), HR administration, and occasional marketing support.
This position is ideal for someone looking for a long-term opportunity in a stable company where they can continue learning and growing professionally.
Responsibilities
- Handle Accounts Receivable activities, including invoicing, customer statements, payment follow-ups, and customer communications.
- Provide general administrative support to the office and management team.
- Answer and direct the company's main phone line and welcome visitors.
- Provide backup support for Accounts Payable during vacations and absences.
- Prepare documents, reports, presentations, and meeting minutes.
- Coordinate meetings and follow up on action items.
- Assist with the Health & Safety Committee (CSS) and maintain CNESST-related documentation.
- Provide administrative support for HR activities, onboarding, and other office projects.
- Maintain spreadsheets, databases, and filing systems.
- Support occasional marketing projects by creating posters, presentations, and promotional materials using Canva or Adobe Creative Suite.
- Assist with special projects and other administrative duties as required.
Qualifications
Experience:
- Previous experience in an administrative or office support role.
- Experience with Accounts Receivable and basic accounting functions.
- Experience providing backup support for Accounts Payable is an asset.
Technical Skills:
- Experience using Sage 50.
- Strong command of Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
- Experience with Canva and/or Adobe Creative Suite is an asset.
Language Skills:
- Intermediate or higher French – Required
- Intermediate or higher English – Required
