Office Manager – Restoration Company (Condominium Restoration Experience Required)

About Us
We are a fast-growing restoration company specializing in emergency mitigation and restoration services for condominium corporations, property managers, and commercial clients. We are looking for a highly organized, confident, and experienced Office Manager who can take ownership of office operations and communicate professionally with clients, property managers, and stakeholders.

Mandatory Requirements
- Minimum 3 years of experience as an Office Manager in a restoration company.
- Previous experience working with condominium restoration projects is mandatory.
- Minimum 3 years of hands-on QuickBooks experience.
- Proven experience scheduling technicians, crews, and field staff.
- Experience preparing and sending invoices.
- Experience preparing estimates for restoration projects.
- Excellent knowledge of restoration industry workflows, including emergency mitigation and insurance-related processes.
- Exceptional written and verbal English communication skills.
- Strong personality with the confidence to manage difficult situations and make decisions independently.
- Professional experience communicating with property managers, condominium boards, insurance representatives, adjusters, and other stakeholders.
Responsibilities
- Manage the day-to-day operations of the office.
- Schedule technicians and coordinate emergency and non-emergency jobs.
- Prepare estimates and send invoices promptly and accurately.
- Maintain accurate records using QuickBooks.
- Communicate with condominium property managers, board members, insurance adjusters, and clients.
- Follow up on outstanding invoices and customer inquiries.
- Coordinate projects from start to finish while ensuring excellent customer service.
- Support management with reporting and administrative tasks.
- Ensure all documentation is complete and organized.
