Job Overview
We are seeking a highly organized, detail-oriented, and dependable Administrative Assistant / Payroll Administrator to join our team. This position combines administrative support with payroll responsibilities and plays an important role in ensuring the efficient operation of our office and the accurate, timely processing of employee payroll.
The ideal candidate has strong organizational skills, payroll experience, excellent communication abilities, and a commitment to maintaining confidentiality while providing exceptional support to employees and management.
Duties
Payroll
- Process bi-weekly or semi-monthly payroll accurately and on schedule.
- Maintain employee payroll records and ensure data is current and accurate.
- Review timesheets, attendance records, overtime, and leave balances.
- Respond to employee payroll inquiries in a professional and confidential manner.
- Ensure compliance with payroll policies, employment standards, and applicable legislation.
Administration
- Provide administrative support to management and staff.
- Answer and direct telephone calls, emails, and other correspondence.
- At times, prepare correspondence, reports, spreadsheets, and presentations.
- Maintain electronic and physical filing systems.
- Order office supplies and coordinate office services.
- Assist with data entry, record management, and general office administration.
- Support Human Resources with employee onboarding, personnel files, and administrative documentation as needed.
- Perform other administrative duties as assigned.
Qualifications
- Certificate, diploma, or post-secondary education in Business Administration, Office Administration, Accounting, Payroll Administration, or a related field is considered an asset.
- Minimum of 2 years of experience in an administrative role with payroll responsibilities.
- Experience with payroll using payroll software (preferably Sage, or similar).
- Strong knowledge of payroll legislation, statutory deductions, and employment standards.
- Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
- Excellent organizational, time management, and problem-solving skills.
- High level of accuracy and attention to detail.
- Strong interpersonal and customer service skills.
- Ability to handle confidential information with discretion.
- Ability to work independently while contributing positively to a team environment.
