Transport Coordinator
About Us
Weston Transport Ltd. operates a small trucking fleet based in Fort Macleod, Alberta. We're looking for an organized, detail-oriented Transport Coordinator to take ownership of the administrative, compliance, financial, and operational side of our trucking operation.
About the Role
This is a varied, hands-on role for someone who enjoys juggling logistics, paperwork, and numbers. You'll be the go-to person for keeping our trucks on the road, our compliance paperwork current, and our books accurate, working closely with Operations and accounting.
What You'll Do
- Prepare and maintain trucking paperwork, including shipping/packing slips, bills of lading, driver logbooks, and insurance/registration records
- Dispatch drivers, assign loads, and coordinate pick-up/drop-off schedules and routes
- Track fuel expenses and arrange backhaul loads to maximize efficiency
- Manage compliance reporting, including IFTA, IRP renewals, and permit tracking
- Maintain truck inspection and regulatory records
- Track and reconcile loads, prepare invoices, and enter transactions into QuickBooks (AP/AR, journal entries, cheques, credit card processing)
- Maintain a monthly cost-tracking spreadsheet for fleet operating costs and profitability
- Record and review driver hours for payroll, and review vacation/time-off requests
- Maintain inventory and equipment records for trucks, trailers, and related assets
- Coordinate with Operations, HR, and accounting on training, scheduling, and reporting needs
What We're Looking For
- Strong administrative and organizational skills
- Knowledge of trucking compliance requirements (IFTA, IRP, permits, logbooks) or willingness to learn
- Experience with dispatching, load tracking, and inventory management is an asset
- Comfort with QuickBooks, accounts payable/receivable, and cost tracking
- Excellent communication skills for working with drivers, customers, and internal teams
- Ability to manage multiple priorities in a small-team environment
Pay: $22.00-$26.00 per hour

- Fort Macleod, AB: reliably commute or plan to relocate before starting work (required)
