About the Role
- We are seeking an experienced Project Data Management (PDM) Coordinator / Document Controller to provide proficient, effective, timely, and high-quality document management and control services throughout the project lifecycle.
- Based in Montreal, this role will support global projects and studies across dispersed teams, time zones, and geographies. You will be part of a central function supporting the Projects Portfolio in Canada.
- This is an excellent opportunity for a team-oriented professional with strong stakeholder engagement skills, experience leading document control teams, and a solid understanding of document control processes and systems.
- The successful candidate will also contribute to project setup, contractor engagement and onboarding, process improvements, training, and project close-out/handover activities.
Key Responsibilities
- Perform quality control and verification of project deliverables received from contractors and Engineering Service Providers (ESPs).
- Provide training and technical support to internal and external stakeholders.
- Participate in project coordination meetings and ensure appropriate communication follow-up.
- Support reporting and data cleansing activities in collaboration with the PDM Lead.
- Monitor and follow up on outstanding project deliverables and RFI documentation.
- Manage and support document control activities using SharePoint, InEight, and Microsoft Office.
- Onboard new team members and provide coaching, mentoring, and buddy support to ensure the ongoing development of Document Controllers.
- Train Document Controllers on internal PDM processes and procedures.
- Produce and distribute weekly document expediting reports.
- Escalate issues that remain unresolved for more than 24 hours to the PDM Lead.
- Conduct fortnightly contractor check-ins.
- Review Contractor Document Schedules (CDSs) with each contractor on a monthly basis.
- Maintain and update the project distribution matrix monthly.
- Attend project meetings according to the established project cadence and maintain regular face-to-face engagement with project stakeholders.
- Conduct ongoing user training for InEight and SharePoint.
- Develop and deliver project setup and handover plans in accordance with requirements defined by the PDM Lead.
- Act as a role model for stakeholder responsiveness, targeting responses within 24 hours.
- Identify opportunities for continuous improvement and actively participate in the implementation of improvement initiatives.
- Streamline and manage InEight and SharePoint access requests.
What You’ll Bring
- Minimum 5 years of substantial experience in document control, preferably supporting large-scale projects.
- Experience working on engineering and construction projects.
- Previous experience managing small to medium-sized document control teams.
- Strong collaboration, communication, and stakeholder engagement skills.
- Experience implementing, configuring, and managing Document Control systems and processes.
- Experience with project setup, contract/project close-out, and handover.
- Experience managing suppliers, contractors, vendors, and/or external teams.
- Ability to oversee, manage, prioritize, and report on team workload.
- Ability to perform effectively in a fast-paced, multi-project environment.
- Strong organizational skills and attention to detail.
- Commitment to the safety of yourself and your team.
- Fluency in both English and French is required.
- Spanish language skills are considered an asset.
Preferred Experience
The following experience would be considered an advantage:
- Document Control experience across the full project lifecycle, from Order of Magnitude (OOM) studies through project handover and close-out.
- Experience working on or supporting projects on site.
- Previous experience with InEight Document.
- Previous experience with Microsoft SharePoint.
- Experience supporting global or geographically dispersed project teams.
- Experience driving continuous improvement initiatives within document management processes.
