Position Overview
Reporting to the Accountant (with indirect oversight from the Finance Manager), the Accounting Clerk supports both accounts payable (AP) and accounts receivable (AR) functions. This is a hands-on, detail-focused role ideal for someone who thrives in a structured finance environment and takes pride in keeping the books clean and current.
Key Responsibilities
Accounts Payable
- Process and manage outgoing payments in compliance with financial policies and procedures
- Review, verify, sort, code, and match vendor invoices
- Set invoices up for payment and enter them into the accounting system
- Prepare and process electronic transfers, check payments, and expense reports
- Monitor accounts to ensure payments remain up to date
- Correspond with vendors, respond to inquiries, and reconcile vendor statements
Accounts Receivable
- Process and manage incoming payments in compliance with financial policies and procedures
- Perform day-to-day AR transactions — verifying, classifying, computing, posting, and recording data
- Prepare bills, invoices, and bank deposits
- Monitor outstanding accounts and contact clients to ensure timely payments
- Resolve billing and customer credit issues
Reconciliation & Reporting
- Reconcile both AP and AR ledgers to ensure all transactions are accurately posted
- Generate financial statements and status reports for AP and AR
- Assist in preparing monthly, quarterly, and annual financial reports
Compliance & Documentation
- Maintain accurate and up-to-date records of all AP and AR transactions
- Ensure compliance with relevant financial regulations and standards
- Prepare documentation for audits and support auditor inquiries
Process Improvement & Collaboration
- Identify and recommend process improvements across AP and AR workflows
- Collaborate with the Accountant and Finance Manager on system enhancements
- Work closely with the broader accounting and finance team
- Provide support for other accounting functions as needed
Qualifications
- Diploma or Associate's degree in Accounting, Finance, or a related field; Bachelor's degree an asset
- Previous experience in an AP, AR, or general accounting clerk role
- Proficiency in accounting software and financial management systems
- Strong attention to detail and a high degree of accuracy
- Excellent organizational and time-management skills
- Strong communication and interpersonal skills
