Job Overview
We are seeking a highly organized, detail-oriented and proactive Office Coordinator to support daily office operations of a growing HVAC service company. The ideal candidate has experience in a service-based business environment, strong operational and administrative skills, and hands-on experience with ServiceTitan or similar field service management software. This role requires excellent communication, multitasking, and problem-solving abilities to help ensure a high level of customer service and operational efficiency.
Duties
- Coordinate and support daily office and service operations.
- Schedule and dispatch service calls while maintaining efficient technician workflows.
- Manage customer communications, service requests, and follow-up activities.
- Maintain accurate customer, job, and service records within company systems.
- Assist with purchasing, vendor coordination, inventory-related activities, and general office administration.
- Process and track accounts payable and accounts receivable transactions.
- Organize and maintain filing systems for documents, vendor information, invoices & receipts.
- Prepare reports, monitor key operational information, and support management with administrative tasks.
- Ensure professional communication with customers, suppliers, and team members.
Requirements
- Minimum 2 years of experience in office administration, service coordination, operations, or a similar role.
- Experience working in a service-based industry (HVAC, plumbing, electrical, construction, home services, or related fields).
- Experience with ServiceTitan is strongly preferred.
- Proficiency with Microsoft Office, particularly Excel, and CRM/business management software.
- Strong organizational, time management, and multitasking skills.
- Excellent verbal and written communication skills.
- Knowledge of basic bookkeeping, accounts payable, accounts receivable, and purchasing processes is considered an asset.
- Ability to work independently, prioritize tasks, and thrive in a fast-paced environment.

Pay: $18.20-$24.90 per hour
