The opportunity
This is a high-trust, high-impact role at the heart of our firm. You’ll work directly alongside our CEO and VP of Human Resources and Operations, keeping the office running smoothly so our advisory teams can focus on client work. No two days will look the same; you’ll handle everything from calendar management and client interfacing to onboarding new hires and managing the office itself.

What you’ll do
CEO support
- Manage a dynamic calendar and inbox, flagging time-sensitive matters and ensuring nothing falls through the cracks
- Actively handle, schedule and coordinate the work and workday; identify and indicate items requiring urgent action and prioritize other matters, including material preparation
- Arrange and maintain dining reservations, travel plans and itineraries for both international and domestic travel
- Reconcile expenses
VP of HR & Operations support
- Handle onboarding and offboarding logistics: technology access, desk setup, building passes, business cards
- Support compliance filings and administrative documentation
- Manage office and employee expenses
- Help plan and execute firm events
- Maintain the company website (WordPress)
- Draft, post and manage social media
Office & team support
- Serve as the welcoming first point of contact for clients and visitors — settling guests, arranging coffee, catering, and tech setup
- Coordinate meeting logistics for both internal and external gatherings
- Keep office supplies, groceries, and facilities stocked and organized
- Maintain organized filing and document retrieval systems
What we’re looking for:
- Experience as an executive or administrative assistant, ideally in a professional services or financial services environment
- Exceptional organizational skills and a natural instinct for prioritization under pressure
- Strong written and verbal communication in English; you can draft a polished email or brief in minutes
- Advanced proficiency in Microsoft Office (especially Outlook) and comfort with QuickBooks and WordPress would be considered an asset
- Discretion and sound judgment when handling confidential information
- A proactive, adaptable mindset; you anticipate needs before they’re expressed and pivot easily when priorities shift
- Genuine curiosity about finance and how businesses work
- Undergraduate degree
- Must be legally eligible to work in Canada

Pay: $60,000.00-$70,000.00 per year
