Senior Office Administrator & Operations Manager Job Summary
We are seeking a highly organised, proactive, and business-minded Senior Office Administrator & Operations Manager to join our growing team.
This is more than a traditional administrative position. We are looking for a dynamic professional who can take ownership of day-to-day office operations while supporting management, sales activities, customer relations, internal coordination, and business growth.

Key Responsibilities
- Manage and oversee daily office operations and administrative activities
- Coordinate communication between management, sales representatives, customers, vendors, contractors, and other business partners
- Manage incoming calls, emails, correspondence, documentation, and customer inquiries professionally
- Maintain calendars, meetings, appointments, deadlines, and management schedules
- Prepare business documents, reports, presentations, spreadsheets, proposals, quotations, and internal communications
- Maintain accurate customer, sales, vendor, employee, and operational records
- Assist management with tracking sales performance, targets, leads, follow-ups, and business activities
- Support customer onboarding and ensure excellent customer service throughout the client relationship
- Coordinate with sales and operations teams to ensure projects and customer commitments are completed on time
- Assist with invoicing, accounts receivable/payable, expense tracking, and basic bookkeeping using QuickBooks or similar software
- Monitor outstanding customer payments, invoices, documentation, and follow-ups
- Help establish and improve internal office procedures, workflows, reporting systems, and operational processes
- Support recruitment, onboarding, scheduling, and coordination of employees and contractors
- Maintain confidentiality of company, employee, customer, pricing, and business information
- Identify operational problems and proactively recommend practical solutions
- Assist senior management with business development, vendor coordination, partnerships, and special projects
- Help create a professional, positive, accountable, and high-performance workplace culture
Qualifications & Skills
- Previous experience in office administration, operations, business management, executive administration, or a similar role
- Strong leadership, organizational, and problem-solving abilities
- Excellent written and verbal communication skills
- Strong command of Microsoft Office, particularly Excel, Word, PowerPoint, and Outlook
- Experience with Google Workspace and modern cloud-based business tools
- QuickBooks or bookkeeping experience is considered an asset
- Strong ability to prepare professional emails, reports, spreadsheets, presentations, and business documents
- Comfortable communicating with customers, employees, vendors, contractors, and senior management
- Ability to manage multiple priorities and deadlines in a fast-paced environment
- Strong attention to detail and ability to maintain accurate records
- Ability to work independently, take ownership, and make sound day-to-day decisions
- Professional, dependable, adaptable, and solution-oriented attitude
- Previous experience supporting a sales-driven or rapidly growing organization is considered an asset
