About the Role
We are looking for an experienced Accounts Receivable Specialist to join our accounting team.
This is a hands-on position in a fast-paced food wholesale and distribution environment. The successful candidate will be responsible for managing customer accounts, processing payments, following up on overdue balances, reconciling accounts, and resolving billing discrepancies.
Many of our customers are Chinese-speaking businesses, so the ability to communicate professionally in Cantonese and/or Mandarin is a strong advantage.
Key Responsibilities
- Manage daily Accounts Receivable activities for a high-volume customer base
- Process and post customer payments accurately and on time
- Reconcile customer accounts and investigate discrepancies
- Monitor AR aging and follow up on overdue balances
- Contact customers regarding outstanding invoices and payment status
- Investigate short payments, pricing discrepancies, credit notes, and deductions
- Communicate with customers to resolve billing and payment issues
- Maintain accurate customer account records
- Prepare and review AR aging reports
- Assist with month-end closing and account reconciliation
- Perform bank and payment reconciliations as required
- Work closely with Sales, Warehouse, and Operations teams to resolve customer account issues
- Maintain organized records of collection activities and customer communications
- Perform other accounting and administrative duties as required
Qualifications
Required
- 7+ years of hands-on local Accounts Receivable experience
- Legally authorized to work in Canada.
- Strong understanding of AR processes, customer account reconciliation, and collections
- Experience managing a high volume of transactions and customer accounts
- Strong attention to detail and accuracy
- Excellent organizational and time-management skills
- Ability to work independently in a fast-paced environment
- Strong problem-solving and communication skills
- Proficiency in Microsoft Excel
- Experience with accounting software (Quickbook)
- Good written and spoken English
Strongly Preferred
- Fluent Cantonese and/or Mandarin
- Experience communicating with Chinese-speaking customers
- Previous experience in wholesale, distribution, food, FMCG, or similar industries
- Experience handling customer disputes, short payments, deductions, and collections
What We Are Looking For
We are looking for someone who can take ownership of the AR function and work independently.
This position is more than data entry. The ideal candidate should be comfortable:
- Following up on overdue accounts
- Speaking directly with customers about payments
- Investigating discrepancies
- Reconciling customer accounts
- Managing a high volume of transactions
- Working closely with Sales and Operations
- Staying organized in a fast-paced environment
A candidate with strong AR experience will be considered even if they do not speak Cantonese or Mandarin. However, bilingual English + Cantonese/Mandarin ability will be a significant advantage.
