ABOUT THE ROLE:
Northbridge Dental is seeking an experienced Dental Office Manager to lead our front-office team and oversee daily clinic operations. As the central point of contact for all staff, you will be instrumental in maintaining a seamless, patient-focused practice while managing administrative and human resources responsibilities in compliance with Ontario dental practice standards.
KEY RESPONSIBILITIES:
- Manage daily clinic operations, including scheduling, patient communications, and workflow coordination.
- Oversee human resources functions including recruitment, onboarding, performance management, and staff development.
- Review and evaluate candidates for hire; build and maintain a high-performing team
- Ensure compliance with Ontario dental practice regulations and Health Professions Procedural Code
- Manage patient accounts, insurance verification, and billing inquiries through digital systems
- Maintain and optimize practice management software (PMS) systems in compliance with PIPEDA and Ontario privacy legislation
- Lead and manage all paperless office workflows and digital documentation processes
- Train staff on digital systems, PMS protocols, and paperless office procedures
- Coordinate with clinical staff to optimize patient care and practice efficiency through digital integration
- Monitor inventory, supplies, and equipment maintenance using digital tracking systems
- Handle patient inquiries and resolve concerns with professionalism and discretion via multiple digital channels
- Manage staff scheduling, payroll, and employee relations in accordance with Ontario Employment Standards Act
QUALIFICATIONS:
- Minimum 2 years of proven experience as a Dental Office Manager in Ontario
- Strong knowledge of Ontario dental practice regulations and compliance requirements
- Demonstrated leadership and interpersonal skills Advanced proficiency with dental practice management software (PMS) - Cleardent experience is a significant asset
- Strong computer skills and high comfort level with digital systems and technology
- Proven experience managing paperless office operations and digital workflows
- Proficiency with Microsoft Office Suite, email systems, and cloud-based collaboration tools
- Ability to quickly learn and adapt to new software and technology platforms
- Knowledge of dental insurance processing, billing, and PIPEDA/privacy compliance
- Excellent organizational and time-management abilities
- Ability to multi-task and manage competing priorities in a fast-paced environment
- Professional communication skills, both written and verbal Tech-forward mindset with willingness to implement digital best practices
- SALARY WILL COMMENSURATE BASED ON THE EXPERIENCE AS A DENTAL OFFICE MANAGER.
