Job Summary
We are seeking a detail-oriented and organized Office Assistant to support daily administrative operations in a professional office environment. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience with clerical tasks. This role involves managing front desk responsibilities, data entry, and supporting various office functions to ensure smooth workflow and exceptional customer service.
Responsibilities
- Greet visitors and manage front desk duties, including multi-line phone systems and customer support
- Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents
- Support administrative tasks such as rep commission schedule, inventory preparation, and scheduling appointments
- Manage appointment calendars and coordinate meetings efficiently
- Provide excellent customer service by addressing inquiries professionally and courteously
- Support medical or dental office operations if applicable, including handling patient records and insurance documentation
- Perform general clerical duties such as photocopying, scanning, and mailing
Requirements
- Proven clerical or administrative experience, preferably in a medical or dental office setting
- Experience with QuickBase, PowerBI, Excel
- Excellent organizational skills with attention to detail for proofreading and data entry tasks
- Effective phone etiquette and experience managing multi-line phone systems
- Ability to handle front desk responsibilities professionally and efficiently
- Strong typing skills for quick data entry and correspondence
- Ability to work independently with minimal supervision while maintaining high accuracy standards
- Prior experience in customer service or customer support roles is desirable
