Role Purpose
Gum Docs is a fast-growing specialty periodontal practice based in Vancouver with a specialty outreach program in Whitehorse, Yukon.
We are seeking a highly organized, proactive, and dependable Part-Time Remote Whitehorse Administrator to support the day-to-day administrative coordination of our Whitehorse program.
This role is designed to ensure Whitehorse patients, referrals, schedules, forms, estimates, and follow-up tasks are organized and ready before and after each outreach trip. You will work closely with the Lead Administrator, Practice Success Director, and clinical team to help keep the Whitehorse program running smoothly between trips.
This is a remote, work-from-home role and does not require travel to Whitehorse.
This is not a passive admin role.
We are looking for someone who takes ownership, solves problems, closes loops, and takes pride in running things well.

Gum Docs provides periodontal care in Whitehorse, Yukon, where patients have limited local access to specialty periodontal treatment.
This role supports that program remotely by keeping communication, scheduling, and administrative preparation organized between outreach visits. The successful candidate will be an important point of contact for Whitehorse patients and referring offices.
This role is ideal for someone who enjoys part-time remote work, patient communication, organization, and meaningful healthcare administration.
Hours
This is a part-time remote position.
Expected hours are approximately:
15–20 hours per week
Monday to Friday
Approximately 3–4 hours per day
Work should generally be completed during regular business hours, ideally between 9:00am and 2:00pm.
Additional hours may be needed in the weeks leading up to and immediately following Whitehorse outreach trips.
What You’ll Be Responsible For
Whitehorse Patient Coordination
- Manage scheduling and confirmations for Whitehorse patients.
- Contact patients by phone, email, or text.
- Help patients understand appointment timing, forms, estimates, and next steps.
- Track patients who require follow-up or future scheduling.
- Keep the Whitehorse patient list organized and current.
Referral & Administrative Follow-Up
- Track incoming Whitehorse referrals.
- Communicate with referring offices as needed.
- Ensure patient forms, records, and documentation are complete.
- Flag missing information before upcoming trips.
- Maintain organized systems and accurate records.
Pre-Trip Preparation
- Help prepare schedules for upcoming Whitehorse trips.
- Ensure charts, forms, estimates, and administrative details are prepared.
- Coordinate with the Lead Administrator before trips so the onsite team is ready.
- Support smooth preparation for each outreach visit.
Post-Trip Follow-Up
- Assist with post-trip follow-up and continuity.
- Help coordinate next appointments, pending treatment, and outstanding administrative items.
- Track patients who need continued care or future scheduling.
- Ensure follow-up tasks are completed between trips.
Team Communication
- Communicate clearly with the Lead Administrator, Practice Success Director, and clinical team.
- Provide updates on outstanding tasks, scheduling gaps, and patient follow-up.
- Bring forward issues early and help solve problems.
- Help improve Whitehorse systems and workflows over time.

Experience Preferred
- Dental administration experience is essential.
- Experience with scheduling, insurance claims, and treatment estimates is preferred.

- Remote administrative experience is an asset.
