About the Role:
The Facilities Specialist supports the performance, reliability, and lifecycle management of major building systems within a multi-residential property portfolio. This role focuses on large equipment, heating and cooling plants, mechanical infrastructure, and building envelope systems.
The Facilities Specialist works closely with the Operations Manager, Property Managers, site staff, contractors, consultants, and suppliers to assess complex technical issues, coordinate repairs, support preventative maintenance programs, and help protect the long-term condition of building assets.
Responsibilities:
- Respond to escalated technical issues involving major building equipment, heating and cooling plants, and building envelope systems.
- Support troubleshooting for complex mechanical, HVAC, plumbing, electrical, and building system concerns.
- Assess issues involving boilers, chillers, cooling towers, make-up air units, heat pumps, pumps, motors, compressors, controls, domestic hot water systems, pressure systems, and related plant equipment.
- Support the review, coordination, and follow-up of preventative maintenance programs for major equipment and building systems.
- Work with contractors, suppliers, engineers, consultants, and internal teams to diagnose deficiencies and coordinate corrective action.
- Review contractor findings, service reports, inspection reports, recommendations, and repair proposals for technical accuracy and operational relevance.
- Coordinate and support larger repairs, replacements, shutdowns, recommissioning work, and system upgrades.
- Assist with planning for capital repairs and lifecycle replacement of major equipment and building envelope components.
- Identify recurring equipment failures, operational risks, performance issues, and deferred maintenance concerns.
- Provide recommendations to the Operations Manager and Property Managers on repair options, replacement needs, cost considerations, and risk exposure.
- Support building envelope reviews involving roofs, windows, doors, exterior walls, foundations, balconies, waterproofing, drainage, caulking, and structural interfaces.
- Coordinate contractor and consultant attendance for major equipment and building envelope assessments.
- Support investigation of water infiltration, condensation, heat loss, air leakage, equipment failure, and system performance complaints.
- Maintain records related to major equipment, service history, repair recommendations, warranties, capital planning, and building system condition.
- Support emergency response for major equipment failures, heating or cooling interruptions, floods, power-related mechanical failures, and building envelope issues.
- Help ensure work on major systems follows applicable safety requirements, company standards, manufacturer requirements, and regulatory obligations.
- Communicate technical issues clearly to internal teams so operational decisions can be made promptly.
- Support tendering, quote review, contractor scope development, and project coordination for major system repairs and replacements.
- Monitor contractor performance for technical service work and escalate concerns when service quality, response time, or repair outcomes do not meet expectations.
- Recommend process improvements that improve equipment reliability, reduce repeat failures, and support consistent asset management practices.
Qualifications:
- Minimum 5 years’ experience in facilities, building operations, mechanical systems, HVAC, construction, engineering support, or a related trade.
- Experience with multi-residential building systems is an asset.
- Strong working knowledge of heating plants, cooling plants, mechanical rooms, domestic hot water systems, ventilation systems, controls, and related equipment.
- Working knowledge of building envelope systems, including roofs, windows, doors, exterior walls, balconies, waterproofing, caulking, drainage, and water infiltration issues.
- Ability to troubleshoot complex technical issues and determine when contractor, consultant, or engineer support is required.
- Ability to read and interpret service reports, inspection reports, quotes, scopes of work, drawings, manuals, and technical recommendations.
- Strong understanding of preventative maintenance practices for major equipment and building systems.
- Strong understanding of health and safety requirements related to mechanical rooms, equipment access, contractor work, shutdowns, and emergency response.
- Strong time management and organization skills.
- Ability to manage multiple technical issues across several properties.
- Strong communication skills, both oral and written.
- Strong attention to detail and the ability to identify operational risk.
- Microsoft Office experience required.
- Yardi or property management software experience is an asset.
- Valid driver’s license and access to a reliable vehicle may be required.
Working Hours: Regular hours of work are Monday to Friday, from 8:00 a.m. to 4:30 p.m. Occasional overtime, evening, weekend, or emergency response work may be required for major equipment failures, heating or cooling interruptions, building envelope emergencies, shutdowns, or other operational needs.
