Administrative Assistant 2: Bookkeeper (Category 3)
Local 213 of the International Brotherhood of Electrical Workers (“IBEW 213”), located in Port Coquitlam, British Columbia, is looking to staff a full-time Bookkeeper. The bookkeeper will be responsible for the accounting and financial cycles of IBEW 213 including the annual audit. IBEW 213 experiences a high volume of accounts. The successful candidate must be organized and precise. The candidate will directly report to the Business Manager / Financial Secretary. Bookkeeping responsibilities will include those of the Local Union and its subsidiary operations.

Starting Wage: $43.68 / hour + Benefits and Pension
Full Time Position – 5 days / week = 32.5 hrs/wk (8:30am – 4:00pm)
Bookkeeper Duties include but are not limited to:
- Oversee accounting functions, addressing day-to-day accounting related inquiries.
- Processing Accounts Payable, Accounts Receivable and employee expenses entries.
- Managing and preparation of payroll including deductions and contributions, benefits, pension plans, dues remittances, CRA, and WCB including distribution through direct deposit.
- Posting, balancing and monthly reconciliation of general ledgers, cash books, journals, journalize transactions of all union funds, bank accounts and deposits.
- Reconciliation of restricted funds, employer hours reports, and local membership reports.
- Prepare monthly management reports, including supporting documentation and working papers.
- Create database reports required for statistical and analysis purposes.
- Processing of daily bank deposit transactions.
- Monthly account reconciliations including remittances, banks and corporate credit cards, and prepare invoices for intercompany billing.
- Manages and liaises with current vendors and assist with new vendor selection.
- Assist with renewal of contracts, insurance, licenses, etc.
- Assist with cash flow reporting and variance analysis when needed.
- Calculate, file and remit all necessary government transactions including GST returns.
- Perform year-end responsibilities including dues receipts, T4s, T4As, T2200s.
- Assist with annual external audit.
- Create and manage accounting policies and procedures.
- Participate in both professional and technical educational training sessions where deemed necessary by management to enhance skills and productivity.
- Cross-train on various positions.
- On occasion, assist assistant business managers with financial portions of union agreements and negotiations.
- Answer member inquiries by phone, in writing, electronic communications (email), or in person.
- Filing.
- Other duties as required by the Business Manager / Financial Secretary or their designate and/or the Local Union President. This list of responsibilities may not be all-inclusive and can be expanded to include other duties or responsibilities as needed.
Experience:
- Post-secondary accounting diploma/degree in financial accounting.
- Minimum 3 years of bookkeeping/accounting experience.
- Minimum 2 years of experience using Sage (300/50).
- Intermediate skills with Microsoft Office Suite (Excel, Outlook, Word).
Experience that will be an asset:
- Work experience in a unionized office environment with knowledge of the purpose, principles and operation of a unionized workplace environment.
- Practical experience processing medium to high volume of Accounts Payable.
- Practical experience with payroll processes and programs.
- Proficient with Access database or similar.

- Excellent time management, analytical, organizational, interpersonal and communications (written and verbal) skills.
- Proven ability to develop and maintain business relationships with all levels within the organization and with other business partnerships in a diplomatic, tactful and professional manner.
- Ability to prioritize, adhere to deadlines, and maintain efficient workloads either while working independently or working in a team environment with others.
- Abel to take direction.
- Resourceful and flexible with a desire to improve and develop professional skill set.
- Possess excellent judgement working with sensitive and confidential information and documents.
- Valid drivers’ license and access to a vehicle.
