Job Summary
We are seeking a detail-oriented, organized and trustworthy Administrator to support our office operations. You will be working directly with the Head of Quality and the CEO to take some work off their plate. The ideal candidate is flexible and able to handle a wide variety of tasks from accounting, quality support work and shipping logistics. This role will likely morph into a higher level role as the company expands operations over the next few years.
Responsibilities
General administrative duties including but not limited to:
- Assist with employment contract & new hires
- Accounting - payroll, general book keeping, AP, AR, Loading bills, creating invoices, executing payments, managing spreadsheets for cultivator and distribution partners
- Marketing materials - website management, adding information and products to website, cordinating of marketing materials for international market and domestic, labels for international market, sales sheets for UK, Germany and Canada, email marketing blasts, cordinating with translator for website and sales sheets for German market, writing product descriptions
- Ordering - office supplies, grow materials, processing materials, packaging
- Managing Inventory
- High level export & shipping management
- Coordinationg which lots & qty. are selling to which country
- Filing Import permits
- Filing Export permits
- Coordination of Permit Gantt chart
- Receive inventory and maintain accurate records in Elevated Signals
Coordinate BCLDB, B2B, and export shipments.
Prepare shipping documentation, including BOLs, packing lists, commercial invoices, manufacturer declarations, AWBs, and CoAs.
Coordinate with the QAP to ensure regulatory compliance and shipment readiness.
Palletize and release shipments to transportation providers.
Prepare weekly BCLDB sales reports.
Coordinate processing schedules and support operational planning.
Qualifications
- Proven clerical or administrative experience in an office setting
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with QuickBooks or similar bookkeeping software is preferred
- Strong computer skills with the ability to learn new software quickly
- Excellent organizational skills with attention to detail and accuracy in data entry and proofreading
- Ability to manage multiple tasks efficiently in a fast-paced environment
- Prior experience in regulated cannabis or pharma is ideal but not required
- Undergrad degree in the realm of business, or sciences is preferred
Pay: $30.00-$40.00 per hour
