Overview
The Summer Student – Finance Clerk position provides high-quality administrative and financial support to the finance team, ensuring efficient daily operations and accurate fiscal record-keeping. This role is designed to provide hands-on exposure to standard accounting software, digital file management, expense tracking, and financial data entry within an affordable housing environment.
Working under the direct guidance of finance leadership, the student will manage financial records, process transactions, verify documentation, and maintain meticulous digital organization. The ideal candidate will possess strong mathematical aptitude, exceptional organizational abilities, high digital proficiency, and a strict adherence to internal controls, version tracking, and confidentiality.
Key Accountabilities
Financial Administration & Data Entry
- Enter Invoices and financial data into the accounting system accurately.
- Assist with processing payments and tracking organizational expenses.
- Help prepare simple financial reports, budgets, and spreadsheets.
- Maintain accurate records and ensure financial files are complete and up to date.
- Provide general administrative support to the finance team as needed.
Reconciliation & Audit Support
- Support basic account reconciliations, ensuring totals match and identifying discrepancies.
- Assist with audit requests by gathering, organizing, and preparing required supporting documentation.
- Communicate with team members professionally to follow up on missing or incomplete financial information.
Records Management & Digital Organization
- Organize, upload, and maintain financial documents in SharePoint using a consistent folder structure.
- Apply standard file naming conventions to ensure documents are clear and easy to locate.
- Review and clean up digital files by removing duplicates and organizing outdated records.
- Help ensure proper version control across financial templates and reports (e.g., labeling documents clearly as Draft or Final).
Qualifications
Education, Training, and Experience
- Currently enrolled in school and attending, or interested in a degree, diploma or program in Accounting, Finance or other related fields.
- Must successfully clear a criminal record check (backcheck) to work with vulnerable populations.
Knowledge, Skills, and Abilities
- Demonstrated proficiency and excellent working knowledge of Microsoft Office Suite (with advanced comfort in Excel functions and formulas), Microsoft Teams, and Outlook.
- Strong digital literacy with an aptitude for navigating SharePoint structures and utilizing integrated accounting databases.
- High aptitude for arithmetic, financial administrative tasks, and digital file reconciliation.
- Meticulous attention to detail with the ability to spot data entry errors, reconcile numbers, and maintain precise digital ledgers.
- Strong organizational and records-management skills, ensuring a highly searchable database.
- Outstanding written and verbal communication skills paired with a professional approach to internal team collaboration.
- Strict compliance with privacy standards and a firm appreciation for maintaining the absolute confidentiality of sensitive financial and organizational information.
