I'm a founder / executive running a small group of companies, with a startup about a month from launch. I need a highly organized, detail-obsessed assistant to keep me on track and keep the books clean. This is a behind-the-scenes support role — you keep me organized and on top of things, working with sensitive financial, contract, and investor information, so discretion and accuracy are essential.
This is an in-person, part-time contract role in Hamilton, starting around 10–12 hours/week. The first week or two may need more hours as we get set up, and as the startup grows there's a real path to full-time for the right person.
Keeping me organized (the core of the role)
- Manage the CRM — keep records, tasks, and pipeline accurate and up to date (most of this is automated with 25+ automations and is directly hooked to AI tools for ease of use)
- Maintain contract records and locations, making sure everything is current and nothing expires or slips
- Track sales and client follow-ups and remind me what's due
- Help organize proposals and investor forms for my review (Coordinate with other founders who are leading on this)
- Keep task lists and check-ins on track across the businesses
Bookkeeping
- Maintain books across several related companies — transactions, reconciliations, records
- Keep receipts and supporting documents organized
- Maintain tracking spreadsheets and help with period-end and compliance paperwork
What I'm looking for
- Exceptional attention to detail — you catch what others miss and nothing falls through
- Highly organized — you bring order and keep it that way
- Discreet and trustworthy — comfortable handling confidential financial, contract, and investor information
- Comfortable with CRM / task-management tools
- Bookkeeping experience; comfortable in Xero and Excel / Google Sheets
- Able to work independently, in person
- Hamilton-area based and ready to start now
- Ideally someone ambitious and looking to grow into a larger responsibility and capacity
