The Opportunity
We are seeking an Intake Coordinator to join our Barrie office. This is a unique opportunity for an individual who is passionate about client service and relationship building. As the first point of contact for potential new clients, you will play a critical role in shaping their experience with our firm. Often, you will be speaking with individuals and families during one of the most challenging times in their lives, requiring compassion, professionalism, and exceptional communication skills.
The successful candidate will be a trusted ambassador for Oatley Vigmond, providing potential new clients with a positive, supportive, and responsive experience while helping them take the first steps toward accessing legal support and guidance.
Hours of Work
This is a full-time position, Monday to Friday, from 10am to 6:00pm
Main Responsibilities
- Serve as the first point of contact for potential new clients by phone, email, and in person
- Conduct intake interviews and accurately complete intake forms
- Build trust and provide a compassionate, professional client experience
- Coordinate and schedule consultations with lawyers and legal teams
- Prepare intake packages and supporting documentation
- Open new matters and maintain accurate records in firm systems
- Track and report on intake activity and client inquiries
- Assist with administrative duties, including database maintenance, Ministry of Transportation searches, and client correspondence
Qualifications and Skills
Required
- Post secondary diploma or degree in a relevant field
- Exceptional client service and interpersonal skills
- Strong communication and active listening abilities
- Compassionate, professional, and able to build trust with clients
- Excellent organizational, time management, and multitasking skills
- Proficiency with Microsoft Office and other computer applications
- Strong attention to detail and sound judgment
- Ability to work independently and as part of a team
An Asset
- Experience in personal injury law, legal intake, or a client focused professional environment
- Knowledge of plaintiff personal injury matters and common injury types

Pay: $45,000.00-$50,000.00 per year
