Position Summary
The Facility & Event Operator – Set Up Focus supports the daily setup, tear-down, room readiness, and basic facility needs of the Miles Nadal JCC.
This is a hands-on, entry-level operations role with a strong focus on room setups, event support, furniture and equipment movement, room resets, storage organization, and general building readiness. The role also supports basic, non-specialized repairs and simple maintenance tasks within the individual’s training, skill level, and authorized scope of work.
At times, the Facility & Event Operator – Set Up Focus may be the only facilities staff member on site during assigned shifts, with access to supervisory support and established escalation protocols. During these shifts, the individual is expected to take ownership of basic, non-specialized facility issues within their scope of training and authorization, respond to immediate setup and room-readiness needs during scheduled working hours, communicate clearly, and escalate larger, technical, unsafe, cleaning-related, or specialized issues promptly in accordance with established procedures to the Director, Operations or designated Facility Operators.
Schedule Information
- Part-time role, averaging approximately 26.5 hours per week
- Hours are capped at 106 hours per 4-week scheduling cycle.
- Hours may be distributed unevenly from week to week based on building needs, event schedules, weekend coverage, staff absences, sick-call support, and operational priorities, within the limits of applicable employment standards legislation. The schedule may include weekdays, evenings, weekends, and public holidays. Shift times may change based on the needs of the building and will be scheduled in advance where possible.
- Heavy event days may require adjusted or additional hours, which will be scheduled and compensated in accordance with the Employment Standards Act and Miles Nadal JCC policy.
- This position is an in-person role and requires working on-site.
Primary Duties and Responsibilities
Room Setup, Tear-Down, and Event Support
- Complete assigned setups for rooms, programs, meetings, and events in a timely and accurate manner
- Perform tear-downs and reset rooms and furniture following programs or events
- Safely move tables, chairs, carts, equipment, supplies, and other furnishings as required
- Inspect rooms prior to use to ensure they are safe, accessible, organized, and properly configured
- Accommodate last-minute setup changes and adjustments when possible
- Maintain organization and safety of storage, setup, and equipment areas
- Identify and report damaged furniture, missing equipment, unsafe conditions, or incomplete setups
- Escalate tasks that are unclear, unsafe, too physically demanding, or outside of training and authorization
Basic Facility Support and Repairs
- Complete assigned work orders within training, skill level, and established procedures
- Perform minor repairs, including furniture fixes, tightening hardware, replacing basic fixtures, and touch-up painting
- Maintain overall building readiness across public areas, program and event spaces, meeting rooms, storage, and back-of-house areas
- Identify and promptly report larger facility issues to the Director, Operations or designated Facility Operators
- Escalate complex or technical issues (HVAC, electrical, plumbing, mechanical, pool systems) to qualified Facility Operators or contractors
- Ensure compliance with safety regulations by avoiding regulated trade work unless properly trained, licensed, and authorized
Independent Shift Coverage and Escalation
- Serve as the primary facilities contact during assigned shifts when working independently
- Take ownership of immediate setup, room readiness, basic repairs, and general facility support within scope of training and authority
- Apply sound judgment to determine which issues can be resolved independently and which require escalation
- Escalate urgent, unsafe, technical, cleaning-related, or out-of-scope issues to the Director, Operations or designated Facility Operators
- Maintain clear and accurate shift notes, documenting completed work and outstanding issues for follow-up
- Provide flexible coverage for evenings, weekends, staff absences, and event operations as scheduled.
Cleaning Issue Escalation
- Identify and report visible cleaning concerns, including spills, washroom issues, unpleasant odours, overflowing garbage, supply shortages, or general cleanliness concerns.
- Escalate all cleaning-related issues to the Director, Operations for follow-up with the contracted cleaning company.
- Take immediate safety action when required, such as placing a wet floor sign, blocking off an unsafe area, or promptly notifying the Director, Operations.
- Support overall room readiness during setup and reset by straightening furniture, removing setup materials, and ensuring spaces are presentable for use.
- This role does not replace the contracted cleaning company and is not responsible for cleaning schedules, custodial duties, washroom servicing, garbage removal, or quality assurance of cleaning services.
Work Orders and Communication
- Use the approved work order system to update and track all assigned tasks.
- Document completed work, outstanding items, follow-up requirements, and any unresolved issues.
- Communicate clearly and professionally with Operations, Bookings, Events, program staff, cleaning staff, contractors, and members of the public.
- Seek direction from supervisors when priorities or instructions are unclear.
- Record and report incidents, deficiencies, and safety concerns in accordance with Miles Nadal JCC procedures.
Health, Safety, Training, and Compliance
- Follow the organization’s health and safety procedures as well as all applicable legislative and regulatory requirements.
- Use tools and equipment (including carts, dollies, ladders, and PPE) only when properly trained and authorized.
- Apply safe manual handling practices when lifting, pushing, pulling, carrying, or moving materials.
- Stop work and seek guidance if a task is unsafe, unclear, outside your training or authorization, or cannot be completed with available equipment or PPE.
- Promptly report hazards, including blocked exits, leaks, damage, equipment concerns, or other safety issues.

- Participate in all required training, which may include health and safety awareness, WHMIS (where applicable), AODA/customer service, emergency response, ladder safety, safe lifting practices, equipment-specific instruction, and other role-related training.
- Attend staff training functions and meetings. Participation in social events is optional, unless otherwise specified.
- Some duties and responsibilities may change or be added from time to time, provided such changes are reasonable and consistent with the nature of the role.
Qualifications
- Experience with event setup, room setup, manual work, facilities support, maintenance, or similar hands-on work is an asset.
- Experience moving furniture, setting rooms, supporting events, completing room resets, or using basic tools safely is an asset.
- Comfortable using basic tools or willing to learn.
- Able to complete physical work safely, including lifting, carrying, pushing, pulling, walking, standing, bending, and moving furniture.
- Strong reliability and follow-through.
- Good practical problem-solving skills.
- Able to work independently and ask for help when needed.
- Able to stay calm and take ownership during basic facility issues.
- Good communication and interpersonal skills.
- Willingness to learn from experienced Facility Operators.
- Relevant equivalent experience will be considered. Canadian experience is not required.
- Must be legally eligible to work in Canada.
Working Conditions & Physical Requirements
- The successful candidate must be able to meet the physical demands of the role, with or without accommodation, which include regular walking, standing, bending, lifting, carrying, pushing, pulling, and moving furniture, equipment, and event materials. The role also requires moving equipment, preparing meeting and event spaces, operating basic A/V equipment, and performing other physically active tasks throughout the workday.
- Work may involve exposure to varying temperatures, noise, cleaning products, dirt, dust, wet environments, and other typical facility operating conditions.
