The Role
The Chandlery and Parts Manager leads and is the primary point of contact for our parts department. You'll oversee sourcing, ordering, receiving, and inventory of marine parts, supervise parts department staff, and work with our Technicians and Project Managers to keep jobs moving. You'll also run the chandlery counter and assist customers directly. This is a hands-on role requiring strong organization, attention to detail, and confidence with inventory and point-of-sale systems.
Key Responsibilities
Chandlery & Customer Service
- Act as the main point of contact for the parts department; answer calls, take accurate messages, and route service inquiries to Project Managers.
- Open and run the chandlery, greet walk-in customers, and help them source the right parts and accessories.
- Process sales through Dockmaster POS and Moneris.
- Secure the premises at the end of each day.
Parts Sourcing & Order Processing
- Take, place, and fulfill parts orders, prioritizing and following up on rush orders.
- Work with Technicians and Project Managers to determine parts requirements and provide breakdowns, cost, lead-time, and freight estimates.
- Create and maintain purchase orders with accurate job details (boat name, work order, op code, description).
- Track shipments and delivery times, follow up on delays and back orders, and keep the team informed of part status.
- Receive and unpack parts, verify against packing slips and invoices, and organize to the correct Project Manager.
Inventory Management & Receiving
- Receive parts into Dockmaster and onto work orders using the inventory receiving module.
- Apply correct margins and ensure work orders are charged accurately.
- Enter stock-issued parts and freight charges to the correct work orders.
- Conduct regular spot counts and adjustments to keep database counts accurate, and review inventory reports (items with no location, margins, weighted average cost).
- Keep the parts department clean, organized, and orderly.
Vendor Returns & Freight
- Process vendor returns, remove items from work orders where required, and complete return paperwork.
- Track outstanding credits and follow up with vendors.
- Manage freight documentation for incoming and outgoing shipments and post charges correctly.
Department Leadership
- Manage day-to-day parts department operations and supervise parts staff.
- Stay current on marine products and trends; participate in relevant industry functions.
- Assist in hiring and training parts staff as needed.
Qualifications
- Strong organizational and record-keeping skills with high attention to detail.
- Solid computer skills (email, Word, Excel); experience with inventory and POS systems such as Dockmaster is an asset.
- Supervisory experience is an asset.
- Strong customer service skills, remaining professional in conflict situations.
- Able to manage multiple priorities and work independently.
- Honest, reliable, with a strong work ethic.
