Position Summary
The Office Administrator is responsible for coordinating and overseeing all administrative and office support activities for the company. This includes managing reception, office services, supplies, mail, contracts, and assisting with travel, events, and general coordination to ensure the office runs efficiently and professionally.
Key Responsibilities
Administrative Support & Coordination
- Coordinate meetings, calendars, travel arrangements, and company events (including catering and bookings).
- Maintain office organization and ensure a clean, professional workspace (including oversight of cleaning staff logbook).
- Maintain inventory and order office, kitchen, and general supplies.
- Negotiate and manage contracts or service agreements with third-party vendors.
- Process and record incoming payments.
- Approve purchase orders and invoices as required.
- Work closely with the Executive Team on various administrative and operational tasks.
- Track deliverables and deadlines across departments.
- Perform other duties as assigned.
Reception & Communication
- Manage inbound calls, emails, and general inquiries with professionalism and discretion.
- Administer incoming/outgoing mail, courier services, and shipments.
- Audit daily sales reports and ensure accurate submission.
Fleet & Insurance Administration
- Manage vehicle licensing renewals, insurance updates, claims coordination, and repairs.
What We’re Looking For (Qualifications)
- Post-secondary education in Business Administration or equivalent.
- Previous experience in office administration; aviation or transportation industry experience preferred.
- Strong knowledge of Microsoft Office (Word, Excel, Outlook).
- Experience with purchasing, inventory control, and third-party vendor management.
- Strong organizational, communication, and interpersonal skills.
- Proven ability to manage multiple priorities with minimal supervision.
- Sound judgment, problem-solving ability, and attention to detail.
- Must successfully complete a Criminal Records Check.
Working Conditions
- Monday–Friday schedule; occasional weekends or overtime as required.
