Job Overview
We are seeking a highly organized and customer-focused Dispatcher to fill an existing job vacancy. The Dispatcher is responsible for coordinating the scheduling and dispatch of crew members to healthcare facilities and private residences throughout our service areas, serving as the primary point of communication between clients, crew members, and key stakeholders. This role ensures the timely, safe, and efficient delivery of non-urgent transportation services while supporting daily operations in a fast-paced, high-volume environment. The ideal candidate is detail-oriented, able to manage competing priorities, communicates effectively, and thrives in a dynamic setting where accuracy, responsiveness, and exceptional customer service are essential.
Duties and Responsibilities

Coordinate and dispatch field units, medical escorts, and personnel to ensure fast, safe, and efficient service delivery, including the appropriate allocation of personnel and equipment for specialized rides and transfers.

Receive, assess, and book ride and transfer requests from multiple sources (email, telephone, fax) including emergency services, medical facilities, long-term care facilities, clients, and patients, ensuring accuracy and timeliness.

Analyze caller information to determine priority levels, effectively prioritizing and dispatching resources so that high-priority transfers receive fast or on-time service while maintaining efficiency for lower-priority requests.

Utilize computer-assisted dispatch systems to accurately enter service request details and assign appropriate units, personnel, and medical escorts in accordance with operational requirements.

Maintain clear and effective communication across the dispatch team and with DFO, ensuring real-time updates, coordination, and continuity of operations throughout each shift.

Document and report operational activity including incidents, delays, specialized transfers, complaints, and crew transfer reviews, providing accurate documentation to the Leadership Team as required.

Adhere to organizational policies and professional standards, including patient confidentiality, data protection, vulnerable persons procedures, health and safety responsibilities, ongoing professional development, and maintaining a clean and organized workstation.
Requirements
We are looking for a candidate who demonstrates the following qualifications, knowledge, skills, and abilities:

Experience in a dispatch, customer service, or other related role with a demonstrated commitment to providing exceptional customer service.

Strong organizational, time management, and multitasking skills with the ability to manage competing priorities in a fast-paced environment.

Excellent verbal and written communication skills, with the ability to interact professionally and effectively with clinical staff, patients, crew members, and other stakeholders.

Ability to remain calm, composed, and professional when responding to urgent situations, changing priorities, and challenging interactions.

Exceptional attention to detail and accuracy.

Strong analytical, critical thinking, and problem-solving skills.

Ability to work collaboratively as part of a team while fostering a respectful, inclusive, and positive workplace.

Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.

Post secondary education in a related field.
