About Vertechs Elevators
Vertechs Elevators is Ontario's dedicated elevator installation division, delivering safe, reliable elevator installations across residential and commercial markets. Role Overview
We're hiring a Scheduler/Administrator to manage field labour coordination, project documentation, service scheduling, compliance submissions, and administrative support across our Ontario and U.S. elevator installation operations.
Key Responsibilities
- Schedule all Canadian and U.S. field labour across active installation projects
- Coordinate project documentation packages — acknowledgment letters, review drawings, final drawings, and closeout documents
- Manage service and maintenance scheduling, contracts, and invoicing
- Submit U.S. permits and TSSA applications; book TSSA inspections and ensure all required documentation is submitted in advance
- Set up deliveries for Ontario and Florida job sites
- Support residential sales activities in Ontario and Florida
- Order consumables and spare parts for field staff
- Invoice change orders and service calls
- Set up all jobs and employees in Connect Teams; liaise with Engineering for drawing packages
- Onboard new field employees — distribute payroll forms, collect and forward to Accounting
- Submit weekly payroll and expense reports to Accounting; approve vendor invoices for payment
- Support Accounting with collections and documentation as needed
- File Non-Conformance Reports (NCRs) as required
What You Bring
- Strong organizational and multitasking skills — comfortable managing many moving parts simultaneously
- Excellent communication skills across field, office, and external agencies
- Proficiency in Office 365
- Experience with QuickBooks an asset
- Familiarity with elevator installation, construction, or field service coordination an asset
- Experience with TSSA submissions or similar regulatory compliance a plus
- College diploma or equivalent experience in operations, administration, or a related field
