The Programs Assistant will support the organization's efforts towards providing support, programming, and resources to members of our community. The Programs Assistant will assist in the administration of all programming areas.
KEY ACCOUNTABILITIES/RESPONSIBILITIES:
· Collaborate, assist and work alongside other staff to ensure effective delivery of WERC programs
· Provide referrals to clients to assist them in obtaining services offered by other community organizations
· Register community members for WERC programs
· Collaborate with all departments to maintain, update and modify the programs and events schedules
· Assist participants during drop-in; printing, fax, phone, computers, general documents
· Assist with the service window; greet visitors distribute harm reduction and safer sex supplies, basic needs, hygiene supplies, snacks and drinks
· Replenish supplies for service window as needed; prepare snacks
· Keep track of inventory, supplies and up-to-date data for reporting
·Assist with event setup and takedown. Support seasonal events.
· Answer phone, email and in-person inquiries; direct to appropriate programs and staff
· Provide resources and referrals to drop-in participants
· Keep resource materials stocked and update as needed
· Maintain a clean and welcoming environment for visitors; sweep/mop floors, wipe down tables, chairs, computers and desks, take trash and recycling out at the end of each day
· Assist in all programming areas, community BBQ’s, summer events and other organized community events; assist in other community activities such as festivals and the AGM
· Ensure all relevant health and safety standards are met including the safety of volunteers, and members of the public
· Notify Supervisors of incidents and prepare incident reports
· Review organization and program policies and procedures, job responsibilities and expectations; sign acknowledgement form upon review
· Adhere to the organizations respect policy and maintain a respectable and friendly work environment
· Other duties as assigned
QUALIFICATIONS:
· High School diploma
· Experience working in a community setting
· Empathy and experience with supporting and working with older, disabled people or historically marginalized populations, children, and families
· Positive attitude, enjoys taking initiative, works well independently and in a team
· Self-directed with exceptional organizational and follow-through skills Strong computer skills; proficient in Microsoft applications
· Strong interpersonal and communication skills, and the ability to interact with staff and the general public
· Understanding and appreciation of inner-city communities
· Ability to work some evenings and weekends
· Knowledge of the Daniel McIntyre / St. Matthews neighbourhoods is an asset
· Valid Driver’s License and clean driver’s abstract; access to a vehicle is an asset
· Current Criminal Record Check and Child Abuse Registry Check
· Legal authorization to work in Canada for the duration of the contract
