Job Summary:
The Real Estate Administrator provides essential support to the branch’s agents, clients, and management team. Working collaboratively with peers, this role ensures the smooth and efficient operation of front desk and administrative functions.
Key Duties and Responsibilities:
- Handle reception duties, including answering phones, greeting clients and walk-ins, booking and confirming appointments, and managing messages through BrokerBay.
- Receive and process deposits.
- Input and manage MLS listings, upload photos, and process related documentation (price changes, extensions, etc.).
- Enter listing and appointment information into BrokerBay.
- Prepare offers, amendments, waivers, and other related transaction forms and documents.
- Maintain office and photocopier supplies.
- Support agents with open house bookings, feature sheet preparation, photocopying, filing, and basic technical assistance.
- Perform general administrative tasks, including typing and drafting correspondence.
- Prepare weekly and month-end reports.
- Perform other duties as assigned.
Qualifications:
- College-level or diploma required; university degree preferred.
- Minimum 1 year of experience in office or real estate administration.
- Strong command of the English language (written and verbal).
- Excellent multitasking, organizational, and time management skills.
- Superior customer service abilities and a professional telephone manner.
- Proficient in MS Office (Word, Excel, PowerPoint), email, and internet management.
- Experience with BrokerBay, REALM, and SkySlope, considered an asset.
- Prior real estate experience is an advantage.
