We are growing our recruitment team and are looking for a highly motivated and outgoing individual to join Apex Trials, our clinical research site, as Manager, Participant Recruitment who can work for us on a full-time basis at our Guelph, ON location. This position plays an important role in designing and implementing the overall recruiting strategy, sourcing and identification of potential study participants to ensure the successful conduct of the multiple simultaneous clinical trials. Working with and further growing and developing the recruitment team, overseeing all operations related to the recruitment and pre-screening of all participants for clinical trials here at the Apex Trials site in Guelph as well as centralized recruitment requirements for our multi-site trials across North America.
This role is ideal for individuals with strong communication skills and who enjoy connecting with people and coming up with new strategies and ideas to grow the site participant database.
Primary Responsibilities:
· Reviews and/or drafts and designs the overall recruitment strategy for clinical research studies conducted at the site and any other studies for which the recruitment department is contracted to
· Collaborates with Clinic Management and marketing staff on a regular basis with regards to recruitment strategies and study timelines
· Assists in assessing recruitment staffing needs, hiring, onboarding, and performance management of recruitment staff
· Workings collaboratively with Clinic Management and Quality Assurance in drafting, reviewing, finalizing recruitment-related SOPs, WIs, Forms and Templates
· Oversees daily recruitment activities and ensures recruitment objectives are met for all contracted studies, receiving periodic updates from the Lead Participant Recruiter
· Oversees setup and training for new recruitment vendors/systems in coordination with Clinic Management and acts as the point of contact for vendors
· Manages social media outlets to support recruitment initiatives (e.g., Twitter, Facebook, Instagram, Snapchat, etc.)
- Proactively monitors recruitment progress and escalates identified issues in a timely manner to Clinic Management, Lead Clinical Research Coordinator, or other identified contact for the study
· Reviews and/or drafts and prepares recruitment materials at the study initiation phase
· Provides oversight and direction on the following recruitment activities (assisting as needed):
o Identification of potential participants for enrolment in studies, including contacting them and confirming their interest in clinical studies
o Prompt return of phone calls/email responses to potential study participants
o Initial participant phone and web screenings and
o Update of all relevant participant information into the participant database to ensure the most accurate database possible
· Provides Clinic Management and Lead CRC with well documented weekly recruitment reports/updates
· In coordination with Clinic Management, assists in planning and managing general recruitment efforts, engagement activities, and community awareness initiatives for the site
· Responsible for growing and maintaining site participant database
· Supports business development activities as they relate to characteristics of participant database and participant access for potential clinical trial opportunities
- Assists in fielding all initial participant phone and web screenings and inputs/regularly updates all relevant participant information into the participant database in order to ensure the most accurate database possible

- Working knowledge of ICH-GCP and Health Canada regulations pertaining to clinical research
- Experience with managing social media platforms is an asset
Education and Experience:
· Bachelor’s degree in business administration, marketing, communications, life sciences or health administration, or a related discipline
· Previous experience in customer service, sales, marketing, outreach, fundraising, or recruiting is considered an asset
· Minimum 2 years experience as a supervisor or in a similar management role
· Experience working in a research facility specializing in Phase I – IV clinical trials is an asset
Pay: $55,000.00-$70,000.00 per year
