Job Responsibilities
Dispatch & Scheduling
- Receive incoming service requests from clients
- Schedule and dispatch HVAC technicians
- Optimize daily service routes and technician assignments
- Coordinate emergency and after-hours service calls
- Monitor technician schedules and job progress
- Communicate schedule changes to customers and field staff
Customer Service
- Answer incoming phone calls and emails
- Confirm appointments with customers
- Provide service updates and ETA information
- Follow up on completed service calls
Administrative Support
- Create and update work orders
- Maintain service records and customer information
- Prepare invoices and supporting documents
- Track technician timesheets and service reports
- Assist with general office administration
Qualifications
- Previous experience in dispatching, coordination, or customer service is preferred
- Strong communication skills with a customer-oriented mindset
- Ability to multitask and manage time effectively
- Fluent in both English and Chinese (spoken and written)
- Proficient in Microsoft Office or similar tools
- HVAC industry experience is an asset
- Detail-oriented, responsible, and able to work in a fast-paced environment
- Available to start as soon as possible
