Job Description
We are seeking a highly organized, proactive, and polished Executive Assistant & Family Office Coordinator to support a small family office located in Yorkville. This role is ideal for someone who enjoys wearing multiple hats and takes pride in keeping both business and personal operations running smoothly.
The successful candidate will serve as a trusted right hand, managing day-to-day administrative responsibilities, coordinating schedules and logistics, and overseeing general family office operations with professionalism and discretion.
Key Responsibilities
- Manage calendars, meetings, appointments, and travel arrangements
- Coordinate personal and professional scheduling and logistics
- Handle confidential communications and sensitive information with discretion
- Oversee day-to-day office operations and ensure the family office runs efficiently
- Liaise with vendors, service providers, and external contacts
- Organize meetings and events
- Maintain office supplies, inventory, and filing systems
- Assist with expense tracking, invoices, and basic administrative reporting
- Support special projects and ad hoc requests as needed, including personal family logistics
Qualifications
- Previous experience in an Executive Assistant, Personal Assistant, Office Manager, or similar role
- Exceptional organizational and multitasking abilities
- Strong written and verbal communication skills
- High level of professionalism, discretion, and attention to detail
- Proficiency with Microsoft Office and calendar management tools
- Past accounting/expense management work experience is beneficial
- Ability to work independently and anticipate needs proactively
- Positive attitude and strong problem-solving skills
