The Safe Mobility section is seeking collaborative and adaptable administrative professionals to join our team as Safe Mobility Clerks. Rather than supporting specific programs, you will act as a general administrative resource for the entire section, working within a rotational pool to ensure continuous operational coverage and consistent service delivery.

What will you do?

Public Inquiry Management: Manage high-volume intake and routing of 311s and other inquiries, ensuring accurate and timely responses for engagement participants and community partners.

People & Assets Coordination: Support staff onboarding/offboarding, coordinate OH&S documentation, track training requirements, manage seating plans, and oversee office equipment and supply inventories.

Financial Administration: Complete corporate credit card purchases, reconcile invoices, and provide general financial support, including processing purchase requisitions.

Leadership Support: Provide calendar and scheduling support to Senior Leadership, create meeting agendas, draft minutes, and maintain section records to ensure corporate compliance.

Dynamic Collaboration: Cross-train with peer clerks to provide absence coverage and eliminate administrative bottlenecks across the section.
Qualifications:

High School Diploma, including business subjects with an emphasis on general office practices, OR completion of an office administration certificate

Two (2) years of progressively responsible related administrative experience

Ability to handle sensitive information with discretion and maintain confidentiality
Assets:
-
Previous experience supporting a high-volume public inquiry desk

Experience with specialized municipal software such as POSSE or SAP

Demonstrated ability to navigate complex administrative workflows and provide coverage for multiple functional desks
Skills required for success:

Excellent time management skills with the ability to manage a large volume of work with conflicting demands and timelines

Strong technical skills with Google Products, SAP, POSSE, CRM, Centresuite, and Peoplesoft

Excellent skills in grammar, punctuation, and spelling to ensure documents conform to professional standards

Focus on excellent customer service when interacting with interested and/or affected parties

Ability to make independent decisions in accordance with established policies and procedures

Ability to establish and maintain effective working relationships with collaborators and internal team members
