Client Care Coordinator – Family Law Office
Mincher Koeman LLP is seeking a compassionate, organized, and client-focused Client Care Coordinator to join our family law team. As the first point of contact for prospective and existing clients, you will play a critical role in creating a positive and supportive experience during what is often a difficult time in our clients' lives.
The ideal candidate has exceptional customer service skills, a strong background in sales or client consultation, and the ability to build trust while maintaining professionalism. This role requires empathy, patience, excellent communication, and meticulous attention to detail.
Key Responsibilities
- Serve as the first point of contact for prospective and current clients by phone, email, and in person.
- Respond to inquiries promptly, professionally, and compassionately.
- Conduct initial client intake conversations and gather relevant information.
- Explain the firm's services and guide prospective clients through the consultation and onboarding process.
- Schedule consultations and coordinate lawyer calendars.
- Follow up with prospective clients to answer questions and assist with the decision-making process.
- Build rapport and establish trust while maintaining confidentiality.
- Maintain accurate client records and update case management systems.
- Coordinate communication between clients and the legal team.
- Ensure all required documents and information are collected accurately and on time.
- Provide exceptional customer service throughout the client journey.
- Support administrative and office operations as needed.
Qualifications
- Minimum of 1-2 years of experience in customer service, client relations, sales, or a similar client-facing role.
- Experience in a professional services or legal environment is an asset, but not required.
- Strong interpersonal and communication skills.
- Proven ability to build relationships and confidently guide clients through a consultative process.
- Proficiency with Microsoft Office, Adobe, Outlook, Clio or other client management software.
- Excellent organizational and time management skills.
- Outstanding customer service and relationship-building skills.
- Compassionate and empathetic when working with individuals experiencing challenging family situations.
- Patient, calm, and able to manage emotionally sensitive conversations.
- Detail-oriented with excellent accuracy and follow-through.
