Overview
We are seeking a detail-oriented and highly organized Corporate Legal Assistant to join one of Canada's largest law firms. In this role, you will provide administrative and legal support to the Corporate department by managing legal documents, coordinating files, supporting client matters, and ensuring the efficient day-to-day operation of the practice. The ideal candidate is proactive, organized, and thrives in a fast-paced environment while delivering exceptional service to lawyers and clients.
Responsibilities
- Coordinate new business intake and file opening, including conflict searches, engagement letters, and client onboarding documentation.
- Prepare, edit, format, proofread, finalize, and distribute legal documents, correspondence, and other client materials.
- Maintain accurate client, matter, and document records, including CRM updates, document management, and bring-forward systems.
- Manage calendars, meetings, travel, deadlines, and other practice management activities for multiple lawyers.
- Support billing and financial processes, including time entry review, invoicing, WIP and AR management, expense reports, and trust-related transactions.
- Serve as a primary point of contact for lawyers, clients, opposing counsel, and internal stakeholders, coordinating communications and administrative support.
- Coordinate administrative activities throughout the matter lifecycle, including file transfers, file closures, compliance, and audits.
- Support cross-functional collaboration, process improvements, and the onboarding and mentoring of team members.
Qualifications
- Completion of a recognized Legal Assistant, Law Clerk, or Paralegal program, or an equivalent combination of education and experience.
- 4–7 years of experience in a law firm as a Legal Assistant or Legal Administrative Assistant.
- Proficiency with Microsoft Office Suite, legal technology, document management, CRM, and law firm financial systems.
- Strong understanding of legal procedures, documentation, and software relevant to the applicable practice area.
- Excellent organizational, time management, and proofreading skills, with the ability to manage multiple priorities, meet deadlines, and produce accurate, high-quality work with minimal supervision.
- Strong written and verbal communication skills, with a professional, client-focused approach.
- Demonstrated professionalism, discretion, sound judgment, adaptability, and the ability to work both independently and collaboratively.
Pay: $65,000.00-$75,000.00 per year
