Job Description: Booking Coordinator/Medical Office Administrator – Mississauga Clinic
Role Overview:
The Gentle Procedures Clinic is pleased to announce an expansion and is seeking a highly skilled Medical Office Administrator to join our team in Mississauga. This pivotal role serves as the first point of contact for patients and visitors, ensuring efficient clinic operations, exceptional patient experiences, and comprehensive support for our medical staff in delivering high-quality care.
Key Responsibilities
Patient Management
· Greet and welcome all patients upon arrival.
· Efficiently schedule and confirm patient appointments.
· Manage patient flow to minimize wait times and enhance satisfaction.
· Accurately collect and record patient demographic information.
· Address patient inquiries in person, via telephone, or through email
Records & Documentation
· Maintain confidential electronic health records (EHR) in strict adherence to privacy regulations.
· Regularly update patient information to maintain accuracy and completeness.
· Process incoming and outgoing referrals promptly.
· Manage all clinic correspondence, including emails, letters, and faxes.
Financial Duties
· Process patient payments and manage point-of-sale transactions.
· Oversee billing procedures and ensure precise invoicing.
· Track and maintain financial records for administrative purposes.
Office Operations
· Order and manage inventory of office and medical supplies to ensure continuous operations.
· Maintain overall office organization for a clean and efficient environment.
· Troubleshoot and resolve basic issues with office equipment.
Staff Support
· Facilitate effective communication among medical and administrative staff.
· Assist with the preparation and coordination of staff meetings.
· Support onboarding activities and provide training for new team members as needed.
Clinic Setup
· Contribute to the establishment, maintenance, and refinement of organizational systems.
Qualifications & Skills
· Experience: Minimum two years in Ontario medical administration or reception, preferably within a private practice, clinical setting, or medical call centre.
· Technical Skills: Proficiency with electronic health record systems, Microsoft Office applications (Word, Excel), and standard office equipment.
· Soft Skills: Excellent verbal and written communication, strong organizational and multitasking abilities, meticulous attention to detail, and a patient-centered approach.
· Attributes: Capacity for independent work, sound judgment, effective problem-solving skills, adaptability to evolving circumstances, and the ability to thrive in a dynamic, fast-paced environment.

Pay: $21.50-$22.00 per hour
