As our business continues to grow, we're looking for a highly organized and hands-on Shipping & Inventory Coordinator to join our Operations team. Position Summary
The Shipping & Inventory Coordinator is responsible for shipping, inventory management, purchasing, and light manufacturing activities to ensure products are produced, maintained, and delivered efficiently. This role requires strong organizational skills, attention to detail, and the ability to work independently while following established procedures in a quality-focused environment.
Core ResponsibilitiesShipping & Logistics
- Receive and process customer orders.
- Pick, pack, and prepare orders for shipment.
- Arrange courier pickups and coordinate deliveries with shipping carriers.
- Select appropriate shipping methods based on destination and service requirements.
- Confirm shipment details and provide updates to internal team members.
- Monitor shipments and proactively communicate delivery status or resolve issues.
- Receive incoming shipments and notify the appropriate team members.
International Shipping
- Prepare international shipping documentation and customs paperwork.
- Ensure commercial invoices, customs declarations, and export documentation are complete and accurate.
- Coordinate with couriers, customs brokers, and internal stakeholders.
- Monitor customs clearance and assist with resolving shipping delays or documentation issues.
- Maintain accurate records for domestic and international shipments.
Purchasing & Supplies
- Purchase shipping, packaging, and operational supplies.
- Monitor inventory levels of shipping materials and replenish stock as needed.
- Ensure adequate supplies are available to support daily operations.
Inventory Management
- Count, organize, and maintain inventory.
- Label inventory and maintain organized storage locations.
- Monitor inventory levels and initiate replenishment requests.
- Maintain accurate inventory records and investigate discrepancies.
Light Manufacturing Support
- Manufacture ClearToe® Serum Pens following documented procedures.
- Fill, assemble, label, and package finished products.
- Monitor finished goods inventory and recommend production runs as required.
- Maintain clean, organized manufacturing and storage areas.
Advanced / Expanded Responsibilities
As experience grows, this role may also support our ISO 13485 Quality Management System (QMS), including:
- Maintaining complaint records and complaint logs.
- Managing shipping logs and related documentation.
- Coordinating product returns and investigations with engineering personnel.
- Tracking complaint, return, and investigation metrics.
- Assisting with QMS documentation and procedure updates.
- Preparing and maintaining change requests and change control logs.
- Maintaining training, equipment calibration, and facility records.
- Supporting internal and external audits.
- Assisting with other quality and regulatory activities as assigned.
Qualifications
- Strong organizational and time management skills.
- Excellent attention to detail and accuracy.
- Ability to follow documented procedures and maintain complete records.
- Experience with shipping, inventory control, manufacturing, or warehouse operations is an asset.
- Proficiency with Microsoft Office, spreadsheets, and standard business software.
- Ability to lift and move packages and inventory as required.
- Experience working in an ISO 13485, medical device, or other regulated environment is considered a strong asset.

Pay: $18.50-$24.00 per hour
