Who this role is for:
An intuitive communicator who understands that the front desk is more than a workstation, it is the threshold of the AetherHaus experience. You are being compensated for your technical precision, your emotional intelligence, and your ability to be the brand’s first and most lasting impression. You are the conductor of the Haus’s energy, managing the delicate balance between seamless logistics and heartfelt hospitality. You thrive where order meets ease.
Job Summary:
Reporting to the General Manager, the Front Office Receptionist is a full-time, in-house role for a service-oriented individual with a passion for sauna, authenticity and connection. You are the protector of presence. From the moment a guest calls or steps through our doors, you ensure they feel seen, held, and welcomed back to themselves. In a world of digital noise, you offer the gift of human warmth and operational clarity.
Core Pillars:
Radical Presence: You are the face of the AetherHaus ethos. You don't just welcome guests, you engage with intentionality. You notice the subtle details, the tone of a greeting, the scent of the air, the placement of a guest’s shoes, and you ensure every touchpoint reflects a 5-star standard.
Authentic Connection: This role requires the practice of intentional pause. You find joy in the stillness and believe that the deepest relaxation begins at the front desk. You meet every guest exactly where they are, helping them shed the city's noise before they even enter the steam
Unified Integrity: You are a vital link in the Haus ecosystem. You uphold management decisions with conviction and clarity. You understand that a professional atmosphere is maintained by staying above workplace chatter and redirecting all grievances through the proper administrative channels with the GM.
Professional Integrity: As a leader, you are responsible for maintaining a professional atmosphere by addressing staff concerns through the correct administrative channels. This means staying above the fray of workplace chatter and ensuring that any grievances are redirected toward constructive, private conversations with the GM or Program Director. By leading with discretion, you ensure the team stays unified and focused on the work at hand.
Emotional Intelligence: Drawing from Banya and Nordic traditions, you lead with a hospitality-first heart. You are an expert at reading the room and anticipating guest needs before they are even spoken.
Operational Precision: You treat our systems with the same respect as our guests. You understand that clean data and an organized schedule are the foundations of a tranquil environment.
Duties Overview
The Digital Pulse: Own the guest journey within Mariana Tek App. You handle bookings, memberships, and service changes with total accuracy, ensuring the schedule is always optimized and errors are caught before they impact the guest.
The Threshold: Manage the check-in and check-out flow with grace. You provide tea and tours for new guests, explain our programming with passion, and ensure every departure feels like a gentle transition back to the world.
Communication Hub: Manage the Haus phone lines and email inquiries with a tone that is professional, warm, and distinctly AetherHaus.
The "Editor’s Eye": Maintain a vigilant presence over the lobby and common areas. You ensure the retail display is pristine, the tea station is replenished, and the lighting/soundscape is perfectly calibrated.
Logistics Coordination: You coordinate with the floor staff, guides, and guide support to ensure turnarounds are efficient and that the transition between heat and cold rituals is seamless for the guests.
Problem Solving: You are empowered to solve guest issues on the fly with poise, ensuring that most challenges are resolved before they need to be escalated to the GM.
Skills & Expectations
Calm is Your Default: High-pressure situations don’t rattle you; they focus you.
Discretion is Paramount: You handle sensitive guest information and Haus operations with total integrity.
Holding Space: You maintain a grounded, non-judgmental presence, ensuring that all guests feel safe, respected, and unobserved while they are in their most vulnerable states.
Culture of Excellence: You’ll be working alongside world-class facilitators and thinkers.
Body Neutrality & Professionalism: AetherHaus is a space of shedding, both physical and mental. You must possess a high level of comfort and professional poise in an environment that can include communal nudity (co-ed and women-only sessions).
Requirements
Ability to remain active and on your feet for the duration of your shift.
A keen eye for detail (spotting a stray thread or a dusty corner is your superpower).
The ability to move discreetly and softly through the Haus.
Maintaining a high level of physical activity while remaining quietly present and graceful in a tranquil environment.
The ability to lift and carry up to 50 lbs (e.g., moving bundles of wet linens)
We are looking for someone with a hospitality soul and an editor’s eye. You should feel a sense of pride when the Haus looks perfect and a sense of duty to fix it when it doesn’t.
