Overview
We are seeking a professional and organized Receptionist/Administrator to join our team. This role is vital in ensuring smooth daily operations by managing front desk activities, providing excellent customer service, and supporting administrative functions. The ideal candidate will possess strong office skills, be detail-oriented, and demonstrate exceptional communication abilities. Experience with medical or dental offices, QuickBooks, and Microsoft Office is highly desirable. Responsibilities
- Greet visitors and clients with professionalism and courtesy at the front desk
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and maintain calendars for staff
- Perform data entry tasks accurately using computer skills and relevant software such as Google Workspace and QuickBooks
- Handle filing, record keeping, and document management efficiently
- Support administrative tasks including proofreading documents, organizing files, and maintaining office supplies
- Assist with billing, invoicing, and bookkeeping processes when necessary
- Provide excellent customer service by addressing inquiries promptly and professionally
- Support medical or dental office operations by managing patient or client information securely
- Maintain a clean and organized reception area to ensure a welcoming environment
Experience
- Prior clerical or administrative experience preferred, especially in office settings such as medical or dental offices
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with QuickBooks or similar bookkeeping software is a plus
- Strong computer skills including data entry, typing, proofreading, and familiarity with multi-line phone systems
- Excellent organizational skills with attention to detail and accuracy
- Demonstrated customer service skills with professional phone etiquette
- Ability to handle front desk responsibilities efficiently in a fast-paced environment
- Previous experience in medical or dental office settings is advantageous but not required; relevant training will be provided for the right candidate
