We are currently seeking a motivated and organized Project Coordinator to support our operations, estimating, and project management teams.
Position Summary
The Project Coordinator plays a key role in ensuring projects are organized, well-documented, and running smoothly from tender through completion. This position combines project administration, estimating support, supplier and subcontractor coordination, and occasional site involvement. The ideal candidate is highly organized, detail-oriented, proactive, and comfortable managing multiple tasks in a fast-paced construction environment.
Key Responsibilities
Project Coordination & Administration
- Coordinate project documentation from start-up through close-out.
- Prepare, issue, and track purchase orders.
- Assist Project Managers with project scheduling, procurement, and administration.
- Coordinate with subcontractors, suppliers, and vendors to ensure materials and services are delivered on time.
- Maintain project records, correspondence, and filing systems.
- Prepare and submit project-related paperwork, reports, and documentation.
- Assist with project tracking, cost monitoring, and progress reporting.
- Set up and maintain project folders and digital records.
Estimating Support
- Request and compile pricing and quotations from suppliers and subcontractors.
- Assist with tender submissions and bid preparation.
- Support bonding, insurance, and prequalification requirements.
- Gather and organize project information for budgeting and estimating purposes.
- Help prepare bid documents and maintain estimating databases.
Field & Site Support
- Arrange and coordinate utility locates prior to construction.
- Attend occasional site meetings and assist with meeting minutes and follow-up actions.
- Coordinate communication between field crews, project managers, suppliers, and clients.
- Assist with resolving project issues and tracking action items.
Qualifications
- Previous experience in construction administration, project coordination, estimating, or a related field is preferred.
- Experience in landscape construction, civil construction, or general contracting is considered an asset.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook).
- Ability to work independently and as part of a team.
- Strong attention to detail and problem-solving skills.
- Valid driver's license and reliable transportation.
